Entering a Trinity Guildhall diploma

Examination centres
Trinity Guildhall diploma examinations are conducted at designated local public centres and at pre-registered school centres. In some cases, for example the teaching diploma practical sessions with viva voce, the examination may take place at another location, such as a school, by prior arrangement between the candidate and Trinity Guildhalls Examinations Manager (and/or the local Centre Representative). In the UK, where there is no convenient public centre, Trinity Guildhall may be able to arrange an Examiner Visit providing that there are enough candidates to meet the set minimum fee level. Those wishing to arrange an Examiner Visit should contact us directly, well in advance of the closing date for entries. In order to provide the best facilities to candidates, diplomas are not available at all centres. Centres are listed in the representatives list and online at www.trinitycollege.co.uk

Diploma centres
Practical examinations are conducted throughout the year on dates agreed with our centres. Public centres publish examination dates in advance. While we will normally adhere to these published dates, circumstances may require an alteration and Trinity Guildhall reserves the right to change published examination dates as necessary. Written examinations take place twice a year, normally on Saturdays in May and November. The dates of written examinations at public centres are published in advance, and are available on Trinity Guildhalls website. For assessed teaching in the UK, arrangements must be agreed with the Examinations Manager at Trinitys Head Office, not less than six weeks before the examination, for the dates when candidates would like their live demonstration of teaching or directing (Unit 2) to be assessed by a Trinity Guildhall examiner. Whilst every effort will be made to accede to candidates preferences, specifically requested dates and times cannot always be guaranteed, and candidates are asked to be as flexible as possible in this regard. Candidates outside the UK should liaise with their local representative.

Examination entries
Diploma examinations in performance and theory are open to everyone, irrespective of age. Candidates may enter ATCL and LTCL Recital and Pro-Music Performance examinations without previously having taken any other examination. Candidates for teaching diplomas must be over 18 (ATCL) or over 21 (LTCL and FTCL) at time of entry. Candidates must check the current syllabus before entering to ensure that all relevant prerequisites have been fulfilled. Applications for examination will be accepted by Trinity Guildhall on the condition that candidates will be examined according to the requirements of the current syllabus, subject to any special conditions which may be advertised from time to time. The regulations contained in this document apply to all music diploma examinations taken from 2009 onwards. All Trinity Guildhall syllabuses can be downloaded from www.trinityguildhall.co.uk where any revisions, improvements, enhancements and additions are also detailed. Candidates should always regard the website version as the latest available. Candidates may not enter at more than one level of diploma in the same instrument or subject in the same session (e.g. it is not permitted for a candidate to enter for ATCL and LTCL in piano at the same time). All entries for examinations must be made on an official Trinity Guildhall entry form which can be downloaded from the website. Each entry form must be accompanied by the correct entry fee as listed on the fee sheet enclosed with each entry form. UK entries should be sent direct to the centre where the examination is to be taken. If in doubt please contact Trinitys Head Office. The name of the candidate as shown on the entry form will be that printed on the certificate. Any errors on the appointment slip or report form must be reported to Trinity Guildhall immediately. The entry form and fees for entries at public centres must reach the local Centre Representative before the closing date, as announced by the centre. An additional fee will be charged if Trinity Guildhall agrees to accept a late entry. The person making the application, whether the candidate, teacher or parent/guardian (if the candidate is under 18), must sign and date the entry form, which constitutes an agreement to abide by these regulations. Correspondence will normally only be conducted with this person. A candidate who has entered for an examination at one centre is not entitled to transfer the entry to another centre, or to defer the entry to a later session. A candidate who wishes to postpone the examination or to take it at a different centre must make a new entry and pay the appropriate fee. No refund of the original fee can be made. An entry which has been made in the name of one candidate may not be transferred to another candidate.

LTCL/LGSMD Recital
From January 2007 candidates for LTCL Recital may opt to be awarded either the letters LTCL or LGSMD on their certificate. The examination will be exactly the same for LTCL and LGSMD. Candidates should indicate on the entry form which designation they prefer if the qualification is awarded. Candidates wishing to receive both qualifications may do this at the point of entry upon payment of an additional fee, equal to 50% of the usual examination fee. Candidates wishing to receive the qualification at a later point will need to pay a fee equivalent to 100% of the original cost of the examination. If the candidate fails the examination and has paid the supplementary fee at the point of entry, this will be either transferred or refunded.

Completing the entry form

Please read carefully any instruction accompanying the entry form, particularly in relation to required documentary evidence or prerequisites. Complete the entry form in BLOCK CAPITALS, and sign it. A separate entry form must be completed for each examination. Each form must be signed and dated by the person making the entry (see page 3) and the fees on each form must be written in the space provided. Completed entry forms should be sent to the appropriate local Centre Representative. Proof that all requirements or prerequisites have been met, or have been deemed by Trinity Guildhall to have been met, will be needed before a candidate is permitted to enter for a qualification. Provisional and conditional entries cannot be accepted.

Fees
Examination fees are printed on a separate fee sheet enclosed with entry forms. If the fee sheet is missing, another copy can be obtained from your local Centre Representative or from Trinitys Head Office. Examination entry fees will not be refunded. Trinity Guildhall reserves the right to refuse or cancel the entry of any candidate if such action is considered to be necessary. When such a decision is taken, any entry fees submitted will normally be refunded and the reason for the refusal or cancellation given.

Closing dates and late entries

Trinity Guildhall and its representatives publish closing dates at the beginning of each year. Those completing entry forms are strongly encouraged to submit them in time to meet the closing dates. Entries received on or before the closing date are accepted at the published fees. For performance and teaching diplomas, anyone wishing to make a late entry must contact their local Centre Representative before completing the entry form. Late entries can be accepted only at the discretion of the local representative. For written diplomas, anyone wishing to make a late entry for must contact Trinitys Head Office, not their local representative, before completing the entry form. All late entries are subject to the following surcharges: day after closing date to 3 weeks before the examination date 50% of published fee 2 weeks 6 days to 2 weeks before the examination date 100% of published fee. No entries can be accepted less than 2 weeks before the examination date. Trinity Guildhall and its representatives make no guarantee that acceptance of a late entry will result in the examination taking place. If a late entry has been accepted but the examination cannot take place, the fee will be refunded but the surcharge will be retained to cover costs of administration of the late entry.

Examination appointments
Trinity Guildhall will send each candidate an appointment slip for practical and written examinations which must be brought to the examination and shown either to the examiner for a practical examination or to the invigilator for a written examination. The appointment slip will give the date, time and place of the examination, together with the name of the candidate and the examination for which he/she is entered. Any errors on the appointment slip must be notified to Trinitys Head Office immediately. Candidates who have been mistakenly entered for the wrong examination cannot change this on the day of the examination. Candidates must attend on the date and time shown on the appointment slip. Wherever possible, Trinity Guildhall and its representatives will always try to meet requests for specific dates and times if these requests are clearly shown on the entry form. No guarantee that such requests will be satisfied can be given, and no alteration to the date and time arranged can be made once appointment slips have been issued. Candidates are required to be ready fifteen minutes before their time of appointment and no allowance can be made for lateness, whatever the reason. 4

The examination itself

Number of examiners
ATCL and LTCL assessments will normally be conducted by one examiner. FTCL assessments will normally be conducted by two examiners. Trinity Guildhall reserves the right to allocate up to three examiners to conduct practical diploma examinations, at our discretion. Written papers at ATCL, LTCL and FTCL will be double-marked with the Chief Examiner in Music arbitrating in the event of any significant disagreement between the markers.

Use of recording equipment: Performance diplomas only

Audio recording
Practical examinations will normally be recorded in audio or video form by the examiners. Trinity Guildhall reserves the right to make audio recordings of all examinations for quality assurance purposes and to maintain an archive for monitoring, examiner training and standardisation. These procedures are an essential feature of Trinity Guildhalls commitment to quality assurance and are in no way detrimental to the candidate. Performances recorded by Trinity Guildhall will under no circumstances be released and will not be used for commercial purposes without the performers consent, but may be used for training purposes. Examiners will not refer to recordings when making their assessments and recordings will not be retained beyond their functional need.

Video
Trinity Guildhall diploma examinations are sometimes videoed. Whenever filming is scheduled to take place at a centre, a form will be supplied, usually via the local representative, requesting permission for the candidate to be videoed. It will offer the opportunity to withhold permission, without prejudice, and this will be accepted without question in all cases. Candidates may also decline to be video recorded on entering the examination room whether or not permission has been given in advance. Completed forms should be given to the Centre Representative or steward before the examination. Even where consent has been obtained, not all examinations in the session will necessarily be filmed. Video equipment used will be in the form of a discrete, single, static camera, operated by the examiner(s) and will be used without any additional lighting. The machine may be set running throughout some or all of the examination. Trinity is mindful of the sensitivities and legalities regarding the making of video recordings, and will always be pleased to halt any recording, or erase specific examples on request, without any prejudice to the assessment. No photography or unauthorised audio or video recording is permitted during the examination. Permission to record examinations by anyone other than those conducting the examining process will not be granted. Any recordings made will be confiscated and may invalidate the examination at the discretion of the Chief Examiner in Music. Mobile phones or other recording equipment must be left outside the examination room. Any recordings of examinations remain the property of Trinity College London and may be consulted by Trinity in any formal appeals proceedings; however they will not be released to third parties. In due course all recordings will be erased, but Trinity is required by the regulatory authorities to retain up to 5% of recordings as an archive and for comparative purposes, to ensure consistency of standards over time. Even these recordings will not be retained indefinitely.

Conduct of written examinations

Candidates are not allowed to take books, papers or music (except for an unmarked copy of the set work(s) chosen for AMusTCL) into the examination room. Bags must be left with the invigilator; they may not be taken to candidates desks. Candidates must not communicate in any way with each other during the examination. A candidate may ask a question of the supervisor on examination procedure but not on the content of a question paper. Both question and answer must be spoken aloud. Candidates who are late are permitted to enter the examination room and begin answering questions if they arrive up to 25 minutes after the starting time. Late arrivals will not be given any extra time in which to complete their answers. Candidates are not permitted to leave the examination room until 30 minutes after the starting time of the examination. If a candidate leaves the examination room, they will normally not be allowed to return. Neither rough work nor the question paper may be taken out of the examination room. If a candidate is absent, his/her examination paper will be returned to Trinity Guildhall marked absent. Under no circumstances may another person be substituted for an absent candidate. Errors, such as an entry for the wrong grade or diploma, cannot be put right in the examination room. If any errors become apparent, the candidate should alert the invigilator.

Submitted materials
All assessed and non-assessed submitted materials, including any audio or video recordings, should be sent to Trinity Guildhall at the same time as the entry. They will be retained by Trinity Guildhall until after the examination process (including any appeal) is entirely complete, after which they will be returned to the candidate or centre. Audio recordings should normally be submitted on minidisk or CD and video recordings should be submitted in VHS format or DVD. Video recording and production quality will not form part of any assessment, but the presentation should be of adequate standard for the purpose required. Candidates may enter Units 1 and 2 separately, or at the same time. If separately, then evidence of a pass at Unit 1 will be required before candidates can progress to Unit 2, and a copy of the Unit 1 work resubmitted at time of entry. In cases where candidates wish to enter both units simultaneously, submitted materials may be presented in one of two ways: EITHER a) at the centre where the Unit 2 practical examination is to be taken. In this case, the materials will need to be delivered to the local representative not less than one week before the date of the practical examination. The submitted materials will be retained by Trinity Guildhall until the examination process is complete (including any appeal) OR b) candidates may send their submitted materials to Trinitys Head Office not less than six weeks before the closing date for the practical session in which they wish to take the Unit 2 examination. When progression through the units of a particular diploma is dependent upon feedback on earlier sections or units, for example the FTCL qualifications, unless the candidate intends to enter the final section of their examination in the next available session, submitted materials will be returned, but a further sight of them is likely to be requested once the final unit is entered.

Verification of reported experience

A pro forma for completion by the Headteacher, Head of Music in a school, or similar person in authority, verifying that the submitted work is the candidates own and/or that the necessary vocational experience has been gained (e.g. teaching practice) is available in the syllabus for candidates to photocopy. In circumstances where this is not possible, an individual agreement between the candidate and Trinity Guildhall must be reached at the time of entry, endorsed by the Chief Examiner in Music.

Completion dates
Multi-unit diplomas should normally be completed within five years from the date of first entry. After that, at Trinity Guildhalls discretion, it may be possible to allow candidates to go on and complete whatever sections or units remain.

Results and marks

Results and marks
Candidates for all diplomas except AMusTCL and LMusTCL receive a written report. Candidates for AMusTCL and LMusTCL receive a summary of marks awarded. Each syllabus contains the assessment criteria and/or guidance for the way each diploma is marked. Associate and Licentiate practical examinations are marked out of 100. The Pass mark is 60 and a Distinction is awarded at 80 marks or above. In Fellowship examinations results are announced as either Approved or Not Approved. No marks are allocated, in line with normal practice for awards at postgraduate level. All report forms are countersigned by the Chief Examiner or a senior examiner. Once they are countersigned, report forms are issued to the local Centre Representative, and in turn, representatives issue report forms only to the person who signed the entry form. Trinity Guildhall will send out report forms as soon as possible after the examination. The target date for sending results to the candidate is six weeks after the examination. Examiners and representatives are not allowed to give details of reports in any other way or to any other person. Neither representatives nor staff are permitted to give examination results over the telephone or by email. Duplicates of completed report forms cannot be provided, though a summary of the marks obtained can be provided upon payment of a search fee of 10. Such enquiries should be accompanied by the candidates name and (if known), registration number, the date and centre at which the examination was taken, the level and subject of examination, and the fee.

Certificates
Successful candidates will receive a certificate showing the subject and level at which they have passed. This will be individually numbered and will bear the accreditation logo. Diploma certificates are inscribed by hand and are normally issued approximately two months after the issue of the examination result. Trinity Guildhall is not obliged to accept responsibility for the non-arrival of any examination report form or certificate after it has been posted. A duplicate of a certificate which has been destroyed or lost in the post can be provided. A fee of 45 is payable for each replacement certificate and applications for replacement certificates should quote the centre name, date of examination, candidates name and number, and include the fee.

Academic dress
Holders of Trinity Guildhall Associate diplomas are entitled to wear an academic gown. Holders of Trinity Guildhall Licentiate diplomas are entitled to wear a gown and hood (purple edged with mauve). Holders of the Fellowship diplomas are entitled to wear a gown and hood (purple lined with mauve). Candidates wishing to obtain academic dress must first contact Trinitys Head Office for authorisation. Candidates should then contact the robemakers Ede & Ravenscroft Ltd, Unit A, Denny Industrial Estate, Waterbeach, Cambridge CB5 9PB, UK (email: student@edeandravenscroft.co.uk) who will supply details of the cost of hire or purchase.

Access and Equal Opportunities

Equal Opportunities
Trinity Guildhall is committed to providing equality of opportunity and treatment for all, and will not knowingly unlawfully or unfairly discriminate directly or indirectly on the basis of gender, age, ethnic origin or disability in its dealings with candidates, parents/guardians, teachers, examiners, Centre Representatives or stewards.

Reasonable adjustments to assessment arrangements

Applications for reasonable adjustments are made when entries are sent to Trinity Guildhall. Adjustments are implemented according to individuals disabilities reflecting their usual method of working, the assessment requirements as set out in the specification and the guidelines stipulated by the regulatory authorities as well as the Joint Council for Qualifications. Trinity Guildhall scrutinises applications for reasonable adjustments and requires the person entering the candidate to ensure that the request is based upon firm evidence. The same standard of assessment applies to all candidates, regardless of any disability, and allowances will only be made to the conduct of the examination if appropriate. Reasonable adjustments are generally not appropriate where a candidates particular difficulty directly affects performance in the attributes that are the focus of assessment. By regularly reviewing the way in which we provide our examination services, for example through audits covering instances of disability, illness, accident or bereavement, Trinity Guildhall aims to identify the barriers or impediments to access.

Requests for Special Needs provision

The specific condition(s) and any request(s) for special tests should be clearly notified on a Special Needs Request Form, available directly from the local Centre Representative, or as a download from the Trinity Guildhall website. Supporting documentation must be supplied to the Centre Representative. Candidates who require wheelchair access to centres should notify the Centre Representative directly, and a covering letter is also often useful. It is particularly important for candidates with special needs that their entries and full details of the disability are received on or before the closing date for the examination. All provision for special needs candidates is tailored to the particular needs of each candidate and is often discussed with the candidate or teacher, to arrive at the best outcome. It is therefore very important to give as full an explanation as possible of the nature of the condition.

Absence through sickness

A candidate who is sick and cannot take the examination may apply to the local Representative for a re-entry permit, enclosing a medical certificate current for the date of the examination. Applications for re-entry permits must be made not later than thirty days after the examination date. The local Centre Representative will forward the application to Trinity Guildhall, who will issue a re-entry permit for an examination at the same level in the same subject. This can be used for an examination within twelve months of the original examination date on payment of half the current entry fee. If a re-entry permit is used towards entry for a higher-level examination, the difference in fee is also payable, i.e. the full fee of the higher-level examination less half the fee of the lower-level examination. All examinations are assessed on the basis of the candidates performance on the day of the examination without regard to any external circumstances. It is therefore not normally possible to apply for a half-fee re-entry permit for non-medical reasons, though Trinity Guildhall will be sympathetic to bona fide cases in which appropriate evidence is provided.

Infringement of examination regulations

If a candidate infringes examination regulations, e.g. by performing an incorrect item or using an unauthorised photocopy of music, the performance will be heard without prejudice or comment by the examiner in order not to jeopardise the performance of valid items. The infringement may be reported to Trinitys Head Office, so that a decision can be taken about the validity of the examination. Trinity Guildhall reserves the right to award no marks for invalid items or for any other infringement of the regulations. The outcome of referred examination reports will be passed to the local Centre Representative as soon as possible after the matter has been considered.

Appeals
Allowable grounds for appeal
Entry for Trinity examinations is deemed to constitute acceptance of the judgement of the examiner(s). Teachers, schools, parents/guardians and candidates who wish to question the outcome of practical examinations should use the procedure outlined below. Appeals which question the professional judgement of the examiner(s) or the marks awarded will not be accepted. The two broad categories of appeal which can be considered are: claims of irregular procedure on the part of the examiner a mismatch between the comments made and the marks awarded in relation to the published criteria.

Appeal procedure for practical examinations

Teachers, schools, parents/guardians and candidates who wish to question the outcome of practical examinations should use the procedures outlined below.

First level of appeal

There is a 25 fee per candidate for all first level appeals. Where the appeal is upheld the fee will be returned; otherwise Trinity will retain the fee. Cheques should be made payable to Trinity College London. Appeals must be made in writing using the form available on the website and sent to the Chief Examiner in Music by the person who signed the original entry form. The grounds of appeal should be set out, and the original (not a photocopy) of the report form should be sent by post. Appeals cannot be discussed or considered over the telephone, and should be postmarked not later than 14 days after the local Centre Representative has issued the results. Trinity Guildhall will send an acknowledgement within 7 days and the appeal will be referred to the examiner(s) for comment as appropriate. The Chief Examiner in Music will reach a decision after receiving the comments of the examiner(s). The target time for resolving appeals is 28 days from the date of receipt, though sometimes the process can take longer. The outcome of a successful appeal may be a revision to the marks awarded or the opportunity of a free re-examination, usually at the same centre. If a re-examination is offered, a time limit will normally be prescribed in the interests of all concerned, so as to reproduce the original conditions as closely as possible.

Second level of appeal

Those who are not satisfied with the decision of the Chief Examiner in Music may proceed to a second level of appeal addressed to the Head of Academic Governance (Performing & Creative Arts). Such appeals should state the grounds on which the Chief Examiners decision is challenged, and should be postmarked not later than 14 days from the date of receipt of the previous decision. The further appeal will be handled in the same way as above. Second level appeals must be accompanied by a fee of 50 per candidate. Where the appeal is upheld the fee will be returned; otherwise Trinity Guildhall will retain the fee. Cheques should be made payable to Trinity College London.

Third level of appeal

Those who are not satisfied with the decision of the Head of Academic Governance (Performing & Creative Arts), and to whom a re-examination has not been offered, may proceed to a third level of appeal addressed to the Director of Qualifications & Academic Governance. Such appeals should state the grounds on which the Head of Academic Governances decision is challenged, and should be postmarked not later than 14 days from the date of the previous decision. The original report form is not required. A fee of 100 per candidate should be enclosed, which will be handled by the Director of Qualifications & Academic Governance in association with an independent member of the Music Review Board in the same way as above. Where the appeal is upheld the fee will be returned; otherwise Trinity Guildhall will retain the fee.

Review procedure for written examinations or submitted materials.

If a candidate wishes to appeal against the result of a written examination or the written component of a multi-unit qualification, the paper/material may be reviewed or re-marked. Requests for review should be made in writing by the person who signed the entry form and sent to the Chief Examiner in Music. The original (not a photocopy) of the mark sheet should be included. A fee of 75% of the entry fee for the examination, rounded up to the nearest 10p should also be included. Requests for review should be postmarked not later than 14 days after the issue of results by the local representative. Trinity Guildhall will send an acknowledgement within 7 days. The target time for reviewing a theory paper is 21 days from the date of receipt of the request. The reviewer, usually the Chief Examiner in Music, will write a detailed written report on the paper and, if the original marking is found to be incorrect, the candidates mark will be adjusted. If the candidate is found to have passed when the result was originally issued as a fail, the fee for review of the paper is returned.

Chief Examiners Report for AMusTCL

A report will be provided by the Chief Examiner. The report indicates what examiners specific expectations were in relation to each examination paper and indicates the mark scheme. Copies of the report can be downloaded from the website.

Appeals
Where an appeal is upheld that calls into question the accuracy of results for more than one candidate, the Chief Examiner may decide to review the awards for the complete session. If on further investigation there are grounds for concern relating to a specific examiner, the examiner in question will be monitored, re-standardised or asked to leave the panel. If there is evidence that the assessment procedure itself is at fault, the Chief Examiner will refer appropriate recommendations for consideration. Trinity Guildhall Centre Representatives are not permitted to be involved in the appeals process on behalf of candidates from their centre. No certificate will be issued by Trinity Guildhall in any case which is the subject of an appeal until the appeal has been adjudicated. In any dispute concerning the conduct of any examination, the decision of the Chief Executive shall be final.

Malpractice by Centres
In situations where a Centre is found to be inadequate or to be guilty of malpractice, either in terms of provision of facilities or in administration, the Centre may be required to suspend its activity until the cause of the problem is identified and rectified. In extreme circumstances, the Centre Representative may be asked to resign, or the Centre may no longer be permitted to act as a registered Centre. Trinity Guildhall requires Centres to report any suspected malpractice by candidates, teachers or examiners.
