cyKNIT™ - Knowledge Integration Tools

cyKNIT™ is a suite of products that include a knowledge portal, a document imaging system and a
drawing management system. The knowledge portal provides a rich functionality that includes document
management, collaboration and document sharing tools, discussion forums, knowledge organiser,
knowledge resources, advanced search and extraction, and Ask the Expert module. cyKNIT™ uses
metadata to organise documents. It employs a taxonomy that allows the user to classify documents and
knowledge resources under different topics. The user can navigate the knowledge resources in
cyKNIT™ by browsing the hierarchy created using the taxonomy and the knowledge organiser.
cyKNIT™ provides an integrated working space that enables users to manage documents and
knowledge resources effectively, assign sharing rights and interact through collaboration and discussion
forums. When users cannot locate the answer using document and knowledge resources as the
advanced searching tools, they can always direct/redirect the question to the expert through Ask the
Expert option.
Ask the Expert option is designed to store question and answers posted by the users on the knowledge
portal. Ask the Expert module captures all questions and answers posted by the users and the experts for
future use. Before the question is sent to
the expert, Ask the Expert module
consults the knowledge base for similar
questions and answers stored in the
database. If the answer is not found in the
database, then the system directs the
question to the right expert. Ask the
Expert module also includes FAQ, tips
and best practices.

Knowledge Portal
cyKNIT™ is an integrated, scalable and

simple login, advanced search tools,
personalisation, collaboration, document
management and knowledge resources,
users are able to enhance their

applications, delivering search results
from every information resource available
to the user with a single search.
cyKNIT™ supports multiple data
repositories such as enterprise
databases, directories and digital libraries.
Knowledge resources are classified using
taxonomy and hierarchical organisation
that makes it easier for the user to find the
right information at the right time.
cyKNIT™ taxonomy builder and
knowledge organizer enables users to
classify documents and knowledge
resources according to concepts that can be used later for concept based searching. cyKNIT™ portal provides a complete document
management functionality that includes document control, document registration and classification, free text indexing, version control
and archival functions. Document management is central in the implementation of knowledge portals.
cyKNIT™ Ask the Expert module is designed to help users deal with tacit knowledge. Tacit knowledge resides in the minds of people in
form of skills and expertise and not as documents. The collaboration tools and the discussion forums together with Ask the Expert
facilities enable an organisation to leverage tacit knowledge and encourage knowledge sharing.

Document Imaging & Drawing Management


cyKNIT™ document imaging allows users to track, control, and distribute documents in a network environment and over the Internet.
The system contains modules for image scanning, OCR, image manipulation, document management, drawing management, workflow,
redlining, hyperlinking and text retrieval.
cyKNIT™ is designed as a generic system that can be tailored to wide range of applications covering different industrial segments.

Types of Documents
cyKNIT™ is designed to handle a wide range of documents including multimedia documents, compound
documents, raster and vector images. For documents which cannot be viewed by its internal viewers,
cyKNIT™ provides facilities for configuring and integrating external viewers that can be used to view and
manipulate these documents. Input of documents in cyKNIT™ is supported through a variety of
mechanisms: Image scanning and OCR conversion facilities are provided to convert the original paper
documents into digital form. cyKNIT™ supports over 150 digital file formats. In addition to conversion and
storage within the digital database, the system provides pointers to the original hard-copy document. Files
generated by almost any computer application can be captured and managed by cyKNIT™. For
example, documents generated by word processors, spreadsheets, CAD/CAM image editing applications
can be captured and managed by the system. cyKNIT™ supports most document exchange formats
such as RTF, SGML, HTML, XML, PDF, and DXF.

Knowledge Depository
cyKNIT™ provides simple user-friendly options to create and manage documents and knowledge
resources. Options under K-depository enable users to create, update, and delete metadata records,
index and modify document content using free-text, link and delete documents attached to the metadata
records.
cyKNIT™ provides a secure, enterprise-wide environment for editing and updating the organisation’s
documents and knowledge resources. The system ensures that appropriate version control procedures
are followed. This capability meets functional systems requirements necessary for ISO processes and
certification as well as engineering drawing working environment.

Version Control
Version control ensures that mistakes such as overwriting, deleting or changing content, or elimination of
the document without authorisation will never happen. Each document record ID in cyKNIT™ is unique;
this means that only one document record can be created under any document ID. When creating new
versions, the user will not be able to change the document control number. The user may, however, link
multiple digital documents to one metadata record. Upon modifying any one of these digital documents
cyKNIT™ creates a new metadata record allowing the user to change the version or revision without
changing the metadata control number. The modified digital documents are then automatically attached to
the newly modified records.

Collaboration and Workflow


Workflow processes within cyKNIT™ allow users to route documents over the network in a closed group,
controlled and safe environment. Only authorised users with workflow routing rights are allowed to set up
routing tables. In the workflow environment users can send, view, process, and track documents moving
through the system according to these tables. Discussion forums on the other hand allows user to raise
questions and seek solutions pertaining to their working environment. Through discussion groups, users
share information and seek advice from each other on various topics using document approach, users are
able to work on the same document, contribute ideas, comments and generate discussion forums..

Annotations and Redlining


Redlining allows users to create annotations on a “layer” displayed above the image of the document.
Annotations enable several people to comment on the same document without changing its content, and
are normally used to show errors corrections, or comments.
Combining cyKNIT™ routing and annotation functions, several people can add their comments to a
document at different times without affecting the original information in the document. For example, the
author of a document can route it to a selected list of users for comments, and then incorporate the
comments as desired after reviewing the annotations.
Redlining allows similar comments with manipulation of the original text. In cyKNIT™, modifying
documents is controlled according to the access rights assigned to individuals; only authorised users can
modify the original documents routed for review and comments.
Those who are not authorised to modify or change the content of the document can use the appropriate
tools to reflect their comments and route the documents electronically back to the author or editor.

Advanced Search and Retrieval Tools


cyKNIT™ provides users with a number of options for searching and retrieving documents and knowledge
resources. The user can use metadata to search using Dublin Core metadata elements. Searching on the
textual content of the document is provided through the use of free text searching using Boolean search
strategy, probabilistic retrieval or fuzzy-logic searching. Searching on the content of document is often
best-supported by employing fuzzy-logic searching with relevance ranking. Users more familiar with the
traditional Boolean search logic can use these tools effectively to locate indexed documents. The other
powerful search facility supported by cyKNIT™ is concept based searching using taxonomy and the
knowledge organiser. In this case users are able to browse the documents and the knowledge resources
using hierarchial tree created using taxonomy and knowledge organiser. There are very few systems that
support the variety of searches available in cyKNIT™.

System Administration
cyKNIT™ provides a wide range of internal housekeeping, operational audit, and archiving facilities.
Archiving documents and database can be done using normal search criteria employed by cyKNIT™. In
this case, all digital files attached to the document will be removed from the database(s) and archived off-
line. cyKNIT™ also provide facilities for creating smaller databases which can include the archived
material. These databases are searchable by the cyKNIT™ software similar to the original database. This
facility enables the user to extract and publish CD-ROM titles.

Security
While cyKNIT™ provides a rich environment for knowledge sharing, it also takes into consideration the
need to protect privacy and confidentiality. To achieve a high level of security, two types of security
mechanisms are used. The first one is the user level of security. This involves the user administration and
the access right assigned to each user. cyKNIT™ provide three level of users access:
l Read-Only (Viewers)
l Read-Write (Update)
l Read-Write (Workflow Managers)
The other type of security is document level security. Each document or knowledge resource stored or
managed by cyKNIT™ can be assigned share access rights. In this case different users within the
organisation can be given different access right to different documents or knowledge resources.
