Welcome to UBD Library! We are here to serve your information needs. On your first visit, you may find the library a daunting place to use. In order to help ease this task, this directory is published with the aim of helping them become familiar with the library layout, its resources and services. We have included the main features of our services with brief information on each one of them with the hope that you will be able to find your way in the library and maximise the use of its resources in the shortest time possible. Abstracts and Indexes


A multidisciplinary print collection of abstracts and indexes are available on the ground floor of the library for those who want to carry out a comprehensive literature search. An instant access to more bibliographic information or citations from indexes and abstracts is available from the librarys subscribed online databases. Some of these databases provide links to full-texts of over thousands of journals or chapters from books, where available. Reference librarians can assist in the use of the hard copies when needed. 1 Notice Boards One notice board is displayed outside the library and another one is displayed at the entrance of the Library which contains information about the library and other announcements from faculties or student bodies. E-mails The main communication between the library and all UBD Staff which contain information relevant to the whole UBD community. Electronic Display Short and precise information about library services and events that can be viewed by everyone who enters the library. e-Library@UBD Portal All information pertaining to the library services, activities and other related events are posted on the library website (http://library.ubd.edu.bn/main.htm) LCD Library announcements are also presented using PowerPoint slides that automatically change for any information pertaining to the library services, activities and other related events. Public Announcement (P.A.) System This is specially used for announcing the Morning Prayer (Doa), the ending of library transaction through the library system and the library closure at the end of the working day. Short Messaging Services Alert (SMS Alert) SMS Alert is used to convey information about library-related activities, announcements, as well as library patrons loan activities. For

Advance Searching Features


As a further extension to searching in-house resources, the Federated Search Service allows users to search subscribed and freely available online databases and Z39.50 compliant catalogues simultaneously, giving users more access through information. This is available in the eLibrary@UBD portal.

Bibliographic Listings
The Reference Librarians at the Reference and Information Services compile a list of library materials on specific subjects every month. Special bibliographies are also prepared for academic staffs and other library members upon request. A short list can be compiled within one or two days, whilst a long list will take longer. This small staff evaluation card is available at every Service Desk. Users who would like to give any comment regarding services provided by the library staff may fill in the card and drop it into the Suggestion Box

Ask a Librarian
This is a virtual reference facility that permits library staff to meet their users in the online environment. It is available at the universitys eLibrary@UBD portal and anyone who uses the service will receive an e-mail response as soon as possible.

Book Mutilation
Library users are required to take good care in the use of all library materials in the library and those on loan. Damaged library item must be replaced, fines may be imposed or the user must pay twice the original price of the item.

Automated Book Return


The Library users may return library items in the Book Drop throughout the week. Two book drops are provided for the return of books for library users convenience. One is located at the corridor near the Library entrance and another one near the Lending Counter. Big books, audiovisuals, CD-ROMs, diskettes and maps must not be returned through this facility to avoid

Book Recommendation
The Library welcomes suggestions and recommendations for the purchase of books, and other library materials by completing a Book Purchase Recommendation Form

available at the Acquisitions & Serials Services Division, at the Library.

Rare Books Manuscripts All loan transaction takes place at the Brunei Studies Collection Service Desk. Items may also be returned at the Lending Service Desk on the Ground Floor.

Brunei Studies Collection consist of materials on Brunei Darussalam, works written by Bruneians and materials published in Brunei .The Collection also includes other Special collections materials on Borneo, old manuscripts and rare books.

Brunei Studies Collections are now open access to all registered library members. 2nd copy and above of monographs in Brunei Studies Collection is located at the Brunei Studies Reading Area. This open shelf is created to enable users to browse through the collection. The users may borrow out items from the open collection based on their loan entitlement and the duration is as follows: Academic staff Students External users -30 days -14 days -14 days Loan transaction should be undertaken through the Brunei Studies Collection Service Desk. Items borrowed from the Brunei Studies Loan Collection may be returned at the Lending Services Desk on the Ground Floor or the Brunei Studies Collection Service Desk. For In-house loan materials, library users are required to request for these materials by filling in the Item Usage Form available at Brunei Studies Collection Service Desk.

The Bruneiana Digital Collection is accessible through the UBD e-Library portal that allows users to view UBD and local publications such as books, examination papers, theses, and journals and press clippings online. The collections also include selected manuscripts and rare books. To access, library users may surf the Library website at: http://library.ubd.edu.bn/main/htm or access the collection directly through http://bruneiana.ubd.edu.bn. User login and password are required.

CD-ROM Search See also Abstracts and Indexes


The library offers different types of reference, abstracts and indexes in CD-ROM format. Abstracts and indexes, and a few reference CDs are available through the librarys CDROM network. Other CD-ROMs are available for stand-alone system and only a single user can use at one time. They may be used upon request at the Reference and Information Desk, where a list of Reference CDs is available for selection. .

Call Number See also Classification


A call number is given for each material in the library through the library catalogue. It serves as a guide to locating materials on the library shelf; therefore, you are advised to write down the call number before going to the shelf, for example: LB1028 B23 1992 c. 1 You may request assistance from any librarians to locate the materials if you failed to find them. 7

Classification
The Library of Congress Classification System is used to organise and arrange materials on the shelves. This system categories specific subjects from all disciplines, using letters and numbers. The complete classification is called Call Number, which includes Class Number, Cutter Number, Year of Publication and Copy Number. A table of the classification system is displayed on each floor of the library.

Catalogue
The automated University Library catalogue, OPAC (Online Public Access Catalogue) is called e-Clik. It is accessible through the computer terminals available on all floors. The complete library holdings can be searched by different categories, such as Author, Title, Subject and Call Number. The catalogue is also accessible through the Library Portal http://library.ubd.edu.bn/main.htm. You may

External library members who intend to discontinue their memberships or whose membership has ended or expired must obtain the library clearance form from the Lending

Counter at the Library. This will certify that the user does not have outstanding matters with the Library.

The General Collection does not have a collection code. 8

Collection Codes
9 Collection codes are provided to make it easier to locate the library materials. The main codes used are as follows: Ruj For reference materials to be used in the library only. Sir For serial publications such as journals, magazines, abstracts and indexes, etc. which can be used only in the library. KBru For Brunei Studies Collection that cover anything written, or produced by Bruneians and published either by locals or foreign publishers. KUbd For any publications and unpublished works, written or produced by UBD staff and students. KTes UBD Thesis Collection, including those from other academic institutions written by Bruneians. KHad For restricted materials used for research purposes only. KNad For Rare Collections, published pre-1950s. Suk For curriculum resources specifically catered for students, teachers and lecturers. Kkr For juvenile literature that includes teenage fictions and non-fictions. Med For multimedia or audiovisual materials.

Collection Development Policy


The collection development policy is a guideline for Universiti Brunei Darussalam Library in the selection, acquisition, evaluation, and maintenance of library materials. It will be used in providing consistency in the acquisitions of library materials among those responsible for developing the library collections.

Copyright Notices
The copyright notices are put up near the photocopy machines to enlighten the library users on the existence of the Copyright Law of Brunei Darussalam, gazetted in 2000. It stated that copying other than for educational/private studies may be in violation under the Copyright Law of Brunei Darussalam.

Customer Services See User Services Damaged or Lost Items


Users are required and expected to look after library properties on loan to them. Any borrower who has either lost or damaged loan material or the key to the discussion / individual study room has to: 1) Pay fines twice the original price of the item as set by the Library.

Additional codes are also added to indicate the types of format for each collection, such as: RujAt Atlases for reference RujCD CD-ROM materials for reference

2) Replace damaged or lost item with the same item acceptable to the Library. 3) Pay the cost of the lost key plus other charges if the whole lock has to be changed.

Discussion Rooms
There are five discussion rooms on the first floor that can accommodate up to four people and another five discussion rooms on the second floor that can accommodate a maximum of six people. These rooms are available for students to use for group discussions. One member of the group is required to borrow a key to any of these rooms for two hours from the lending Services Desk and to return it upon vacating the room. A fine of $2.50 per hour will be charged for late of returning the key.

Digital Library Services


The digital library (DL) of the Universiti Brunei Darussalam comprise of online library services and academic resources specifically catered for the needs of the faculties and research community of the university. Users are presented with segmented webpart upon logging in to the portal. Non registered users can only use the facilities at the homepage level of the digital library service. Registered user can log in to the DL services and access the resources from within and outside campus through Ezproxy network of the library. The services may include Basic Search and Advance Federated Search; Personalization of the Electronic Resources Reference; New Arrival Based on Your Subject of Interest; Library Account Information; your saved searches and top campus searches. Users can also benefit from the News and Announcement of the services and resources; Discussion Forum (Have your say) for the library patrons on any subject matter of interest to all members of the Library

Dress Code
The UBD Student Dress Code is stated in clause 30 and clause 31 of The Universiti Brunei Darussalam (Discipline of Students) Regulations and this code is also imposed in the library. Clause 30: A student shall comply with such dress code specified for use in the Campus as may be determined in writing from time to time by the Dean of Students or the Vice Chancellor. Clause 31: A student who fails to comply with the dress code determined by the Dean of Students or by the Vice Chancellor shall be guilty of a disciplinary offence.

e-Books The library subscribes to one e-book database called ebrary. It is available through the library portal and restricted to library members only. Electronic books offer full text access to books from various disciplines in pdf format. Members can read these books online and printing is allowed to a few pages only. eClik See Catalogue

The Academic Services Centre building where the library is located is equipped with ramps for the handicapped using wheelchairs. There are also lifts to get access to all floors of the library.

The e-Library portal is accessible http://library.ubd.edu.bn/main.htm through The e-Library portal functionalities and features include: Choice of English, Malay or Arabic page. Personalisation that allows a user to personalise the display and layout of their portal page to suit their preferences and needs. Profiling function that allows the end user to set preferences that determines the contents of the portal. Links providing immediate access to subscribe and free electronic resources including online databases, e-journals, newspapers and various websites. Forthcoming and current events providing news and information that is going to take place or currently taking place in the Library or on campus. Library and University related important announcements for the UBD communities. Ask a Librarian that allows users to send their queries by e-mail to Library staff Surveys providing useful insights of academic staffs and students perspectives on services and facilities provided by the library. E-Mail Alert
Overdue notices and item availability notification are sent out through e-mails by the library. Any fines or other problems can be settled at the Lending Services Desk.

E-Reference

UBD Library subscribes to Electronic reference sources such as OED (Oxford English Dictionary), Arabic English Dictionary, CrossReferences, etc while the e-reference sources include Free Medical Online, almanacs, limited access to fulltext encyclopaedias and others

E-journal titles subscribed by the library are accessible through the e-Library@UBD Portal. Library users are required to login to the portal in order to access these journals.

E-Resource Room
The e-Resource Room is located on the second floor of the Main Library adjacent to the Media Services Division. The room is equipped with twenty-five computer workstations and one instructor workstation complete with Internet access, Microsoft Office programmes, reference programmes and resources. One smart board screen and wall mounted white board are also provided. Another e-Resource Room is located on the ground floor. It equipped with eleven computer workstations.

Emergency Alarm See also Fire Safety


Emergency alarm will be activated if there is any fire or other potential dangers to alert the library users. Everyone is required to leave the library building immediately through the emergency exits by using the stairs. 14

13 The purpose of the e-Resource Room is to provide on-site training and promote e-resources subscribed by the University Library to UBD staff and students. The room is opened on Monday, Tuesday and Thursday from 8.00 a.m. to 7.45 p.m., except during the semester break, from 8.00 a.m. to 4.15 p.m. Intended users are required to register at the General Desk. Computer usage is limited to individual research work and accessing the Internet for academic and research purposes only.

E-Resources
The Library subscribes to various online databases that are accessible through the eLibrary Portal. They cover various disciplines and are popular among those doing research. Each database has its own ID and password and they can be obtained from the Reference Desk upon request. Users need to log in to the library portal in order to access the e-resources.

Fire Safety See also Emergency Alarm


Library users are requested to observe the Fire Safety Rules at all times. Users are advised to observe the nearest fire exit. In case of fire, everyone is requested to get out of the building immediately and follow the instructions given by the floor leaders. Lifts are not to be used during emergencies.

First Aid Box


A First Aid box is available at the library Lending Services Counter if needed.

Exhibition (Ground Level) Special displays are organised by the library in conjunction with any special, national and university events. Faculties also exhibit their works or activities at the exhibition area in the library on a regular basis.

General Collection
In the eClik OPAC system, general collection is known as Koleksi Am. General collection covers loan materials that are available on the Second floor, from class A to BP190 and on the First Floor, from class BP191 to Z.

Fines
All loan items should be returned to the Librarys Lending Counter, Automatic Book Return or Book Drop. Fines will be imposed for all overdue library items at the following rates: 20 Cents General Collection 40 Cents Red Spot Collection A twenty cents fine each day for General items includes Sundays, except public holidays. For Red Spot Collection items, the forty cents fine is imposed every one hour. These fines are computer generated. Library users are advised to return loaned items on time to avoid the overdue fines. Gift and Exchange


To enrich the library collection, the library receives gift items from individuals, local and international organisations. The library accepts only books, journals and other nonprint materials such as dvd, vcd, videos, slides, maps and audiocassettes. The library also contributes some publications for exchange with other institutions.

Internet access is provided for all registered library users at the Reference area, Brunei Studies Collection area and the e-Resource Room. Those interested must register at all levels respective services desk before accessing it. This service is for academic and research purposes only. Information Literacy Skills Programme


This programme is offered every year for new students and also existing students who wish to learn more about the library services, facilities and collections. The library also organise this programme every Wednesday and Saturday. ISBN Help Desk


17 The International Book Standard Number (ISBN) Help Desk located on the third floor of the library is under the responsibility of the Catalogue Division. This Division helps to coordinate all requests for ISBN to be assigned to any publications by UBD. It also provides the necessary Cataloguing-in-Publication (CIP). University Library liaises with the Dewan Bahasa dan Pustaka and the ISBN Centre for Brunei Darussalam, in obtaining the ISBN. The ISBN Procedure and Form are available at the Catalogue Division and can also be downloaded from the Library Portal at http://library.ubd.edu.bn/main.htm

Inter Library Loan and Document Delivery


The Inter Library Loan (ILL) and Document Delivery Service (DDS) supplement the holdings of the University Library by obtaining materials from other libraries or commercial services to fulfil the study, teaching and research needs of students and academic staff at UBD. Academics, Postgraduate Students, Final Year Students, and bona fide researchers, external and JALINAN members are eligible. The Inter Library Loan forms are available at the Lending Counter. Requestors will be notified by e-mail when items they requested have arrived. Every effort is made to obtain material within a week, however request may take longer if the item needed is in heavy

There is no appointed agency for International Standard Serial Number (ISSN) in Brunei Darussalam. Those who wish to obtain ISSN

JALINAN is a formal library co-operation programme among academic libraries in Brunei Darussalam spearheaded by Universiti Brunei Darussalam Library. It stands for Joint Academic Library Network of Negara Brunei Darussalam (Rangkaian Kerjasama Perpustakaan Akademik Negara Brunei Darussalam). Its main purpose is to bring together all academic libraries in Brunei Darussalam and to establish formal recognition for quality access to information, which is directly related to institutional advancement in academic programmes and researches. The University Library provides a chat box in the Library Portal for users who wish to post their inquiries or communicate with the Librarians online. The University Library aims to develop positive attitudes and behaviour among its users in line with the national philosophy, Malay Islamic Monarchy (MIB). Several attributes are required to foster the library culture, like inculcating awareness of the librarys importance in the educational process, to obtain maximum benefit from the library facilities and value them in a responsible manner, adhere to the rules and regulations, etc.

Library Enquiries See Enquiries Loan Policy


The following are several loan policies used by the University Library:

General Collection All UBD students are allowed to borrow fifteen library items for fourteen days, while lecturers are allowed thirty items for one month. On the other hand, external members are only allowed five items for two weeks, while corporate members thirty items for thirty days. Red Spot Collection This collection is kept behind the Lending Services Desk and may be used in the Library for four hours. Usage exceeding the time limit will be liable to a fine. Reference Collection All reference collections are to be used in the library only. Requests to use certain materials for teaching purposes will be considered. Brunei Studies collection Normal loan is for open collection only and based on an individuals loan entitlement as mentioned in the loan policy for general collection (above). In-house loan applies to first copies of all titles, first set of multi-volume materials, serials, reference materials, UBD handbooks, bound newspaper articles, project papers, maps, newspapers, past year examination papers and theses. Item Usage Form is used to access PhD theses, exam papers and legal deposits, while a letter of permission to the Chief Librarian is required to use rare books and old manuscripts.

Loan Privileges
The following are the number of items on loan entitled to each category of users: Students Lecturer - 15 items for 2 weeks -30 items for 1 month or 3 months General Staff -15 items for 2 weeks Senior Officer -20 items for 1 month External members: Individuals -5 items for 2 weeks Government Officer B2 above -4 items for 30 days Temporary Students -4 items for 2 weeks Short Loan: 4 hours for 1 item per person Short Loan: 3 days (for lecturer only) if borrowed out of the Library.

Loan Transactions
Transactions of different types of library service are available: Borrowing through the Automated Self-Check Out Machine The "Self-Check Out" machine is a self-service machine for borrowing books. A borrower must have a valid UBD card ready to use this facility Loan records will be automatically updated through the Library Computer System and a date due slip will be issued when the borrowing process is completed. Borrowing at the Lending Services Desk

21 Serials All journals or periodicals are also to be used in the library only, but lecturers are allowed to borrow three journals at a time for three days.

Materials on loan can be borrowed twice unless they have been reserved by another library user. Renewal is allowed. Items can either be brought to the library for renewal or by phone or using the self-check machine. Renewal of loan can also be done online by logging in to the User ID and password when using an online catalogue (eClik) from the UBD e-Library Portal http://library.ubd.edu.bn/main.htm, and submit the request through the library system. Membership and Registration


Student Membership With the co-operation of the Information, Communication and Technology Centre (ICTC) at the university, new students will automatically become library members and may use the library facilities when the library receive their list of personal details, which the library will input into the library system. A UBD card which is issued by the ICTC can also be used as a library membership card for any library transaction. Academic and Non-Academic Staff Membership Any new member of staff is also registered as a library member using the same procedure as above. External Membership The UBD card, which is also used as the University Library Membership card, is issued at the cost of $10.00 by the ICTC.

A user may reserve or hold an item online if an item s/he requires is on loan to another user. The procedure also requires a User ID and a Password when using the online catalogue (eClik), and the user must submit his/her request through the library system. Any reserved items will be kept on the shelf at the back of the Lending Services Desk for one week. Materials not claimed within the specified period will be cancelled and reshelved. Lost and Found


The library receives items lost and found in the library from time to time. Lost and Found items can be claimed at the Security Counter. 23

Corporate Membership This type of membership only applies to organisations located in Brunei Darussalam. An annual fee of B$2,000.00 and a deposit of B$500.00 is charged.

Microform Copier / Printer


The library provides a microform copier for microfilms and microfiches that can also print out the documents required. Each print-out is charged 20 cents and it is payable at the Lending Counter. This service is available at the Brunei Studies Collection and at the Media Collection.

The Media Collections consist of kits, audiocassettes, video-cassettes, computer discs, CDs, microforms, charts, etc.

New Book Display See also Exhibition


Every new book will be displayed for two weeks. Lecturers who are given the priority to recommend or request library materials will be informed of the new arrivals and may claim them after the display period is over. Book donations received by the library are also displayed. These books cannot be borrowed until the display period is over; therefore those who wish to borrow them may reserve the materials through the Lending Services Desk. News

The Library opens from 8.00 a.m. to 8.00 p.m. every day, except Fridays, where it closes at 4.30 p.m. During semester breaks and long vacations, the library only opens during working hours, i.e. from 8.00 a.m. to 4.30 p.m. The Library closes on Sundays and during public holidays. Library transactions cease fifteen minutes before closing time and this is announced through the P.A. (Public Announcement) system.

The library staffs select articles from local and foreign newspapers, pertaining to Brunei. The newspaper articles are compiled by subjects. Overdue
Any library materials on loan have the due date. Therefore, library users are urged to check the due dates and return their loan on time to avoid paying overdue fines. The library welcomes contributions from any learned or prominent people who have personal collection to be shared and used for learning and research purposes. The Personal Contribution Collection can be located at the Brunei Studies Collections on the third floor of the library. The Library has an on-going publishing programme under the Library Publication Series. The publications include bibliographies, indexes, directories, proceedings, etc. They are available for sale and further information is posted on the library web site, http://library.ubd.edu.bn

Photocopy Service

The Library provides reading areas and attempts to develop a pleasant atmosphere and an environment conducive to research and learning. Various types of reading areas are provided for the library users. Room usage is on a first-come first served basis. Prayer Rooms
The library provides two prayer rooms, one for males and one for females. They are located on the right wing of the ground floor from the entrance. Recall
When an item is requested by another user, a recallable message will appear against the title of that item and any user who wishes to renew his/her loan will not be able to do so.

Security Systems
The Library uses a security system in order to protect its materials. When materials leave the library without being properly desensitised, they will trigger off the security alarm. 28 There are occasional instances when the library staff have good reason to suspect that there is intent to steal library materials. In this case, the Library may turn the case over to the Security personnel. The Library reserves the right to search library users belongings for library materials, and to search any bags, handbags, briefcases, and binders etc., which continue to trigger off the security system.

Self-Check Loan and Renewal See Self Service Lending Self Service Lending
The library uses a 3M Self-Check Out Machine that allows library users to borrow or renew materials from the library by using their UBD cards. There are three machines located on the Ground Floor of the library for the library users perusal.

Rush Order
UBD lecturers who require urgent teaching resources to be purchased by the Library may request for a Rush Order by completing the Item Order Request Form available from all faculty offices and from the Acquisitions Division of the Library. All rush orders, including other book orders must be approved first by the faculty deans before being passed to the library to be processed.

Serials Collection
The General Serial Collection is located on the Second Floor. The Brunei Studies Serial Collection is located on the Third Floor.

Signage
The Library signage serves as a guide and provides basic directional information to library users. They also help to identify various collections, service points and facilities available in the Library. This helps to provide a user-friendly environment in the Library.

Security Counter
The Security Counter is located at the Library Entrance. All visitors have to register at the Security Counter and obtain the visitors pass before entering the Library.

Silence
In order to maintain a conducive environmental for study and research, the library users are expected to observe silence at all times in the Library.

Anyone who requests to be alerted about any library announcement can receive them through SMS service free of charge. Theft Cases
The Library will not be responsible for anything stolen at the library premise. On the other hand, any thefts in the library must be reported to any of the library staff or the security personnel. It is advisable to lodge a police report after such incident. The police emergency number is 993.

Study Rooms See Individual Study Rooms; Discussion Rooms


There are two single study rooms for students who prefer to study in private. The rooms are available on the first floor. The key to any of the room can be borrowed from the librarys Lending Service Desk and should be returned upon leaving the library.

UBD Archives
The UBD Archives consists of important files or documents pertaining to Universiti Brunei Darussalam. The archives are under the management of the Media Division of the University Library.

A suggestion box is placed at the Ground Floor. Library users can place their written suggestions

UBD Card
All registered members of the Library are issued with a University Brunei Darussalam

Library card. Only a valid University Library card may be used for any library transactions or services. All UBD students and other library members are required to bring along their UBD Card when using the library. Loss of UBD Card must be reported to the Lending Counter, the Computer Services Centre (ICTC), and the University Librarys Security Personnel. For safety reason, a written statement from the police is also required before a new card can be issued. A charge will be imposed for its replacement. 31

User Services
The University Library User Services cover the Lending Services, Reference and Information Desk, and Brunei Studies Collection Service Desk and the Media Services Desk. All the user services staff co-operate with each other to deliver a co-ordinated and efficient service.

Viewing Media Rooms (Third Floor)


Audio-visual equipments are available for viewing multi-media materials in the Library. Two viewing rooms suitable for watching films, videotapes, etc. in-groups are available on the third floor. A key is available at the Brunei Studies Collection Service Desk and must be returned upon vacating the room.

Volunteers
Library Volunteers Programme was introduced in February 2001 involving UBD students. It provides students with an opportunity to contribute to library work and a love for reading and in developing information skills. 34
