Why convert documents

Why convert documents

There are several primary reasons why it is worthwhile to convert documents to graphics or PDF.

Compatibility and Protection from Distortion

Documents saved in an all-purpose format can be opened on any computer running any operating system. They will also look the same on any PC and will not be distorted in any way. This is especially important in document management systems, when exchanging electronic documents between different companies, etc.

Longevity
Using an all-purpose graphics format or PDF eliminates the dependence on software type and version when viewing the files. Because software is updated continuously, and backward compatibility requirements are not always honored which, in turn, results in the users' needing to resort to legacy software.

Diversity of Tasks
Document conversion makes addressing many heterogeneous tasks significantly simpler, such as, online publication, printing press preparation, etc.

Uniformity
The use of graphic formats or PDF achieves uniform rendering of documents of different types in document acquisition and processing systems.

File Format. A file format is essentially the data presentation method. Thus, the same image, for instance, may be used
for different purposes and may, therefore, be represented as different file types: GIF and JPG files are used to liven up web pages, TIFF is used for printing, etc. The same is true for documents.

Conversion. Conversion is the process of translating a file in one format into a file in a different format. Virtual Printer. A special driver that is seen and used by the operating system as a printer driver. It enables users to utilize
standard printing functions for different purposes, such as file conversion.

Profile. A group of settings for a certain task saved as an XML file.

Supported Formats
Source File Formats
Any document may be used as source for the Universal Document Converter: Microsoft Word documents, Adobe PDF files, Microsoft Excel spreadsheets, Autodesk AutoCAD drawings, Microsoft PowerPoint presentations, web pages, etc. The only constraint is that your computer must have software installed to open and print the document in question.

Output File Formats

The Universal Document Converter is able to convert documents to files of the following types: BMP, DCX, GIF, JPEG, PDF, PNG, TIFF, PDF.

BMP (Bitmap): a raster graphic format. It is supported by many applications under DOS, Windows, and OS/2 but is not
supported by MacOS. BMP lends itself to lossless sequential compression using the RLE algorithm. Color bit depth may vary between 1 and 48 bits per pixel. Large file size is BMP's primary drawback.

DCX: a PCX-based bitmap graphic format. This is essentially multi-page PCX. Uses a fast but inefficient compression
algorithm unsuitable for images with a lot of detail, such as photographs.

GIF (Graphic Interchange Format): a bitmap graphic format developed specifically for the transmission of images over
networks. GIF images are stored as lines, and only the format with an indexed color palette is supported. The standard was developed to support a 256-color palette. The GIF format uses the lossless LZW compression algorithm. Therefore, good compression is achieved for images with lines containing recurring sequences, such as, images with many horizontally aligned pixels of the same color.

JPEG (Joint Photographic Experts Group): a bitmap graphics format designed specifically for compact storage and online
publication of photo quality color images. At this time, it is the most widely used format in the world. JPEG comprises a lossy image compression algorithm. The degree of compression may be set by the user producing files of different sizes and images of different quality.

PDF (Portable Document Format): a platform-independent electronic document format developed by Adobe Systems
using a number of capabilities offered by PostScript. Its primary purpose is to present printed matter in an electronic format because much of the advanced professional printing equipment is able to process PDF files directly.

PNG (Portable Network Graphics): a bitmap graphic format that uses lossless compression. PNG was designed both as
an improvement and a replacement for GIF and as a graphic format that may be used without a license.

TIFF (Tagged Image File Format): a bitmap graphic format. It was developed by Aldus in conjunction with Microsoft. It has
become popular as a storage format for images with great color bit depth. TIFF is very flexible and can store photographs using different palettes as well as different color spaces. This format implements support for a number of compression algorithms. In addition, it is possible to save TIFF files with no compression.

Recommendations on Using Different Formats

All graphic formats have unique features, drawbacks, and advantages. Therefore, each is best suited for a particular class of problem.

Photos. Traditionally, JPEG has been used to create, store, and process photographic images. However, it should be
kept in mind that this format uses lossy compression. And the higher the compression, the more obvious the various image artifacts.

Electronic Documents. The most common electronic format for documents is PDF. Thanks to its unique features, it has
become the international standard in this area.

Internet Graphics. The two most used online formats are JPEG and GIF. One or the other is normally selected based on
the size of the resulting file. JPEG is better for images with a lot of detail and a large number of hues. While GIF is best for images with a relatively small number of colors (especially, as part of web site design layouts). The PNG format may also be used, which, although less common, is supported by all advanced internet browsers. In addition, PDF files may be used for the online publication of price lists, documents, various product catalogues, etc.

Printed Graphics. The TIFF graphic file format is the printing industry's de facto standard. Uncompressed files are used
in certain cases. However, the LZW lossless compression algorithm is most commonly used.

Presentation Graphics. JPEG and PNG are normally used to insert graphic images into presentations. The former is

eitconcepts@gmail.com

used for photos and other images with a high degree of detail. while the latter is used for graphs, diagrams, etc.

Animation. The GIF format is used to create graphic animation files. Special Capabilities. Sometimes, users have a need to address a special problem. A suitable format is then selected
based on the situation. Thus, much of the legacy or special-purpose software does not support anything other than BMP graphics files. Therefore, if such software is used, files must be converted into this format.

Preview

Preview
The preview area is a thumbnail image of a hypothetical page with graphics. Its appearance depends on current settings and updates automatically if they are modified. The following settings are shown in the preview area: paper orientation, color properties, margins, multi-/single-page document.

In addition, the preview area presents a summary of the current conversion settings as text. It will display the selected format, the resolution, post-processing settings, page settings, water marks, etc. This gives the user an immediate feel for the changes brought about by modifying a parameter which makes the software easier to learn and utilize. Preview is one of the Universal Document Converter's unique features.

Compression. Compression algorithm for the resulting graphic. "- Default -": if the bit depth is "Monochrome (1-bit)", CCITT Group 4 compression is used, LZW otherwise. "None": no compression. CCIT Group 3: a Huffman lossless compression algorithm using a fixed table. The full name of this algorithm is CCITT Group 3. This indicates that this algorithm was proposed by Standardization Group 3 under the International Telephone and Telegraph Consultative Committee. It replaces uninterrupted sequences of black and white pixels with the number of such pixels. This sequence, in turn, is compressed using the Huffman fixed-table algorithm. The algorithm is best suited for dual-color black-and-white images with large areas of white. CCIT Group 4: a more advanced version of CCITT Group 3. Compression is vertical unlike Group 3 where compression is left to right. This algorithm is a common compression method and is applicable to virtually all monochrome images. LZW : a lossless compression algorithm. It was named after its creators Lempel, Ziv, and Welch. The LZW algorithm was published by Welch in 1984 as an upgrade to the LZ78 algorithm published by Lempel and Ziv in 1978. When it came out, it provided better compression for most applications than any other well-known method at the time. This algorithm became the first data compression method to be widely used in computers. LZW compression uses identical byte sequences. Therefore, it is best suited to the compression of 1-bit black-and-white images as well as grayscale images without a lot of fine detail. Flate (ZIP): essentially, the deflate lossless compression algorithm (the deflate algorithm is also at the basis of ZIP), i. e. an advanced algorithm which selects a compression method based on file content. The compression engine has three modes (no compression, sequential LZ77 compression, and modified Huffman compression with standard sequences and sequences created on the fly during compression).

Availability of various algorithms depends on selected bit depth.

TIFF

Segmentation. Method for breaking the file up into stripes. The original TIFF standard assumed that the image would be segmented into stripes. This allows the TIFF file to be read as individual stripes which given the small size of each such stripe can be processed even by computers with small amounts of random-access memory. The standard recommends that the stripe not exceed 4 Kbytes (Striped Option). The Single-Stripe option records the entire TIFF image file as a single stripe. These files are normally more compact. If your intention is to use TIFF files on computers with sufficiently large RAM, we recommend that you use the Single-Stripe option. The extended TIFF standard offers the capability to break the file up into random rectangular shapes (Tiled Option) rather than into stripes. It should be noted that the tiled mode is not supported by some image renderers. If the - Default - option is selected, the Stripped mode is utilized. Fill Order. Bit sort order during reassembly: MSB2LSB (bits sorted in ascending order) or LSB2MSB (bits sorted in descending order). Used for compatibility with various facsimile equipment. Utilized with CCIT Group 3 and CCIT Group 4 compression algorithms only. If the - Default - option is selected, the MSB2LSB fill order is used.
