Online Final Year Project Management System

1. Introduction:
The purpose of this project is to provide an easy platform for the final year students
seeking and working on project. We are making this system for automating the Project
Allocation, Monitoring and Tracking System of Department of Computer Science, International
Islamic University Islamabad (IIUI). Currently running manual system in the University contains
lots of problems (e.g. approval process, Monitoring, artifacts submission process) and
duplication in Final Year Projects. . So we are proposing this System, that user will work with it
easily and correctly and students of IIUI will get benefit from it.

2. Existing System:
In existing system all the process of projects (approval, submission, exams) are controlled
manually. The existing system has following disadvantages:
1. It is very time consuming for students as well as for the teachers.
2. There is no efficient system for checking the duplication of project.
3. It does not provide any help regarding project ideas.
4. Monitoring of project is very difficult as student has to meet with teacher personally.
5. It does not manage the committee for projects.

3. Problem Statement:
The currently system is not efficient because it is manual and does not manage project
efficiently .It is time consuming in getting teacher remarks. The approval process is time
consuming. It does not show supervisors status, students progress report and success projects of
the departments. There is no facility for video conferencing for project approval, internal or
external.

4. Proposed Solution:
Proposed system is automated and has complete information about each and every project
stakeholder, complete automated procedure for approval of the project and to provide online
monitoring of project.

4.1 Scope:
This system will Track the all current projects in the university .It will Monitor the whole
development process of a projects from its proposals up to its external exam, it provides
automated approval procedure and also provide features like supervisor details ,the number of
projects a teacher supervise, the management of project committee, supervisor allocation, video
conferencing etc.

5. Project Features:
5.1 Projects Records and Tracking of existing projects:
It will record the current projects as well as it contains record of previous projects which
is being done by students to avoid the duplication of project.

5.2 Provide Ideas for projects:

It will provide students some useful ideas regarding their final projects. System shows
new ideas as a teacher uploads ideas on system and as a student selects the Idea the idea is
marked and should be confirmed in limited time, After the limited time the idea will
Automatically unmarked and another student can select it.

5.3 Project Approval Process:

5.3.1 Proposal Submission:
The student submits the proposal either by getting idea from this system or come
with new idea. Artifacts are also defined in this process. Teacher remarks are added in this stage
which is very important in the approval of the project.

5.3.2 Project Approval:

After the comments/remarks of the teachers, the head of department will accept or
reject the proposal based on comments by the teachers.

5.3.3 Project Allocation:

After the acceptance of proposal, a project is allocated to the student.

5.4 Monitoring of Project:

Current state of the project.
Notification by the email is sent to students when there occur an event

5.5 Online Submission of Assignments:

A student can submit their partial work online without wasting their time in manual
process.

5.6 Time Management:

System manages time for projects as according to university rules, also manage time
for deliverables

5.7 Video Conferencing:

Following features will include in video conferencing:

5.7.1 Proposal Submission:

In case, if a student is not able to submit proposal personally, a video
conferencing facility can be provided.

5.7.2 Internal Exam

The chairman of department recommends an internee from departments teachers. Who
will be appropriate for the specific project and keeping in mind the limit for internal as according
to university rules. A teacher can be an internee for limited numbers of Projects.

5.7.3 External Exam

System keeps records of external exams .Stores projects details e.g. date, internee, Grade
and Supervisor.
In case if student is not able to present at exam, a video conferencing can be arranged
which is our main goal to achieve time efficiency.

6. Project Reports:
The system will generate the student report about project, e.g. Supervisor, type of project,
grade, etc.
