    On June 24, 2011, CREW filed a Freedom of Information Act request with the Army Corps of Engineers, Department of Agriculture, Department of Commerce, Department of Energy, Department of Health and Human Services, Department of Labor, Department of Veterans Affairs, General Services Administration, National Archives and Records Administration, and National Oceanic and Atmospheric Administration, seeking all records reflecting how these agencies and departments plan to fulfill their records management requirements after they move their email systems to a cloud computing environment. The National Archives and Records Administration (NARA) has recognized the many records management challenges associated with cloud computing and issued guidance (NARA Bulletin 2010-04, Guidance on Managing Records in Cloud Computing Environment) to all agencies. Several of these agencies and departments have already moved their emails to a cloud computing environment, or are in the process of moving their email systems to a cloud. Others are still in the information gathering stage. CREW seeks information on what steps these agencies and departments have taken to comply with the bulletin as well as records between these departments and agencies and cloud computing providers, such as Google or Microsoft.

    Morning Denise, Just to let you know before I send it out, I will be making a few editorial changes to the draft that you sent. I am replacing NA for NAA on the distribution list; we send it to the office heads and they determine who reviews it. I will also be making some changes to the language for the action notice--not substantive, but making it consistent with other notices. I imagine it will go out today. NWM requests that NPOL sends this out for a limited internal review to these units; NR, NW, NH, NL, NGC, NPOL, NAA. Below is text that should be used to convey the product to these NARA units. The review period will end on July 19. Please be advised that Paul Wester has determined that this should not be shared with the FRC or OMB at this time. Please let me know if you have any questions and bc us when you transmit it to the offices. We would also appreciate it if you could forward responses to me as you receive them. Thanks, Denise7-1480_________________________________________Attached to this e-mail, you will find Bulletin 2010-XX -- Guidance on Managing Records in Cloud Computing Environments. In addition, there is a Document Review Form (DRF) for the Bulletin which will help us consolidate and manage the comments. We welcome comments on this Bulletin, and strongly encourage that they send all comments via the DRF. It is most helpful if you suggest alternative replacement text for each of your comments. Please send only one DRF for the guidance product from your unit. Please arrange to send the completed DRF to Laura McCarthy in NPOL no later than COB Monday, July 19, 2009. Once we receive the comments, the NWM team will review the comments and further edit the product for subsequent external review.
