The software is prepared to find the information about the vehicles available on rent including the description of each vehicle i.e. colour, model number etc. The intention of this software is to simplify your decision and make booking procedure as pleasant as possible for the customer such as getting vehicles and paying rent online. Krazzy services present a detailed description of the services rendered at the shop who rents vehicles.
The aim of the software is to centralize the process and create an easy availability of data and records which will explain the purpose, features and benefits for the customer as well as the staff members.
ORGANIZATIONAL BACKGROUND
1. History
The Krazzy services started its business two years ago in 2008. An inclination towards customers has been a tradition of Krazzy services. Its amenities and excellent services have increased its demand in the past one year. Krazzy services have always tended to introduce innovative ideas and policies to enhance its customer base.
2. Existing System
The current system being followed by Krazzy services of renting a vehicle is manual. All the processes are done manually in the form of paper work and the records are stored in the registers. Customers detailed information such as his address, license number, telephone number etc. are written on paper. Bills are formed by hand written work. Availability of the vehicles which are to be rented is maintained in the registers.
3. Problems Faced
Availability of vehicles to be rented: How many vehicles are booked and how much are vacant are maintained in records. Any skipped entry in the registers may lead to malfunction.
Customer information: To keep all the details of the vehicles which the customer has taken on rent.
Account record of Krazzy services: To keep all the expenditure and annual and monthly income records.
Renting: To keep all the records of the vehicles which are rented to the customers.
Security: Ask for security so that the authenticated users will be able to access the data.
SOLUTION STRATEGY
Security: Log-in helps the authenticated users to access all the data of the organization/company.
Availability: Searching for availability of vehicles which are rented and which are not rented.
Services: To sort the vehicles depending upon the categories i.e. AC/non AC and the services which their specific offers to get the information at one click
Booking: To enter the details of the customer who has taken a vehicle on rent either online or face to face.
Customer information: To keep all the entries of the customers name, address, contact number, license number etc.
Payment records: While returning the vehicle it will check whether the payment has been done by the customer or not and if its done it will add directly to the companys account. This may help to keep the records updated after each transaction.
Discounts: Discounts are provided at one time payment i.e. only during some seasons.
Vehicle received:
After receiving the vehicle from the customer the software will automatically update the list of available vehicles by adding the received or returned vehicles by the customers.
PROBLEM DEFINITION
The software designed to rent vehicles is an in-house windows based application used by business to automate their operations such as availability of vehicles, details of customers, etc.
The software is designed to administrator to track all the status of vehicles which are available and which are rented in just one click. The software provides better management for vehicle bookings.
It can manage daily transactions such as such as calculating the money received on renting per day/month/year.
It is based on graphical user interface so that any non technical operator can easily use this software.
With improved computerization being involved in the maintenance of details of vehicles and customers.
Proper guidance is provided to the regarding various types of vehicles and their costs.
Validation of data will be ensured. Only accurate, valid and complete data will be stored in the database.
Report generation in the form of the printouts will reduce manual work.
The report generation will enable to analyze the performance of the company and manage the administration in the better way.
Customer satisfaction is also taken into consideration. Reduction of manual work will increase the profit.
