Assist student in finding a match

To Do

Provide assistance and support to the student when he/she has problems with the company/organization Provide reception in the host country Maintain communication with the student throughout the duration of the internship.
Provide all the necessary information to the incoming student about visa, insurance, work permit and all other legal requirements.

Get an acceptance note from the company/ organization stating the terms of the internship (salary or compensation, working hours,
dates of internship, job description).

Buy a plane ticket (or other transportation)


Have enough money to cover living expenses for the first few weeks of the internship.

Advise and assist student in acquiring the required documentation and legal papers
(i.e. work permit, visa, residence permit, insurance and other requirements).

Acquire the necessary legal documents to participate in an internship in the foreign country (visa, insurance, working permit and other
required documents).

Organize events that involve the student. Integrate himself/herself in the LC activities in the home and host country Acquire adequate insurance, medical certifications, working & residence permits, and flight arrangements for the internship.

Prepare opportunities for re-integration after the internship Attend preparation events

The set of policies and standards that regulate AIESECs exchange program. It is Divided in key sections: Definitions Selection Policies Matching Policies Acceptance Policies Post-Match Policies Preparation Policies Integration and Reception Policies Complaint procedure

General Policies
Exchange Participants up to 2 years after graduation less than 30 years old Internship Minimum 6 weeks, maximum 78 weeks summed up = no longer than 36 months not 2 internships in 1 company

The Internship cannot aim to:

Solely provide an opportunity for the intern to earn money; Provide a holiday; Act as a permanent career placement or recruitment opportunity Provide permanent residence in the country of internship; Be an internal AIESEC leadership position (such as MC opportunities and AIESEC CEEDs).

The intern has a right to:


Receive support and guidance from the Sending Entity at any stage of Exchange Process.

EPs cannot
Match with his home country Achieve 2nd exchange in the same company or organization Match with the country that raised him/her (French EP cannot match with France) Match with a country where he lived for more than 2 years in the past 10 years

Salary
Allow to live in the country and cover basic expenses (accommodation, food, transportation and basic reception activities for the duration of the internship) At minimum = local minimum wage Doesnt cover travel, tourist holiday expenses, The intern may be asked to partially support himself/herself

If no salary
Hosting LC: specify to what extent basic expenses will be covered (accommodation, food, travel) What AIESEC will provide in addition to that How much the EP require to supplement these Proof of this support must be detailed in the TN form and the TN Acceptance Note

Acceptance Note
The EP must sign and send an AN before the EPs Form is presented to the TN No AN = no guarantee that the EP will accept the internship if accepted by the TN After sending, the AN is valid during 10 consecutive days

Officially Match when Intern and Organization fulfilled at least one of the requirements: have accepted each other through MyAIESEC.net and uploaded their official Acceptance Notes. have been assigned a manual match and both have signed and sent their official Acceptance Notes.

Hosting LC responsibilities
Provide information & relevant documents (for visa, registration, other needed legalities) Inform about possible community involvement opportunities Initial assistance: bank account, 1st day at work, local transport, grocery shopping.. Provide access to platform (e.g. forum, mail group, phone number etc.) to communicate with Hosting LC. Provide 1 responsible person from LC who will take care of you during internship.

EP responsibilities
Have sufficient funds to cover all transportation expenses to and from the host country. Have sufficient funds to cover all living expenses for the first four weeks of the internship. Officially register with the home embassy in the host country if necessary. Behave in terms of cultural, religious, ethical norms, national or local law and other policies Stay in touch with Sending entity.

EP breaking Match before Realization


Fault: EP and Home LC EPs Form is automatically removed from the system EP cant take part in AIESEC Exchange anymore Home LC may be asked to find another EP for the TN

TN breaking Match before Realization


Fault: TN and Host LC TNs Form is removed from the system Host LC has to search for another TN within the next 2 months The EP Form will go back to available status to find other suitable TNs

EP terminates X (realization)
No penalties if: The intern hasnt received all the necessary documents from the Hosting LC (including invitation) within two (2) weeks required for application for visa/work permit. The work is completely different than described in the TN Form Intern has emergency problems in family. The Intern becomes ill and the situation can be dangerous for his/her health. The Intern is in danger due to war, natural disasters, weather, people revolution, terrorism attacks, etc EP experiences discrimination or sexual harassment at work Organization does not provide basic working conditions for 2 consecutive months Organization doesnt pay promised salary for 2 consecutive months

EP may request a new exchange in the same country

TN can break the match if:


The Intern falsified information about language, academic background or experiences The Intern violates laws of the country or the regulations of the organization The EP has to cover expenses to return home Cant participate in the AIESEC exchange Has to pay 50% of the TN fee to the TN Organization

EP >< TN or Host LC EP should raise the issues with the parties to try to find solutions Host LC or TN >< EP If issues cannot be solved between TN and EP, the Host LC should get involved to find solution If problem is poor work performance, TN should analyze with EP how EP can improve work quality

Visa - Work Permit - Insurance - Flights

Visas

AIESEC can advise you on Visa issues, but you will have to obtain your own visa Refer to Foreign Aairs Ministry website for info Never book your ight un=l you have your visa sorted!

You will need the following in order to apply for your visa:
1. A copy of your acceptance note (signed) 2. The application form and all required documents as stated in the visa section on the embassy website for the host country. 4. A copy of the invitation/ endorsement/visa letter from the company they will be working for. Should be arranged by the host LC.

3. A signed and stamped copy of the Acceptance note (AN) from the company in the country they are going to. Should be arranged by the host LC

5. Your CIS (convention internationale de stage) from your university/ school

Work Permit
Host LC should tell you if you need a work permit If so, the host LC should arrange your work permit for you

Insurance
You should arrange your own insurance Look around for good insurance cover Eg. World assistance, Europe Assistance

Flights
It is your responsibility to book your ights Dont book your ights un=l you have your visa, in case of delays in your visa applica=on!
