ICT Department Goals

1) Strengthen integration of ICT in curriculum, pedagogy and assessment to enhance learning and develop competencies for the 21st century. 2) Build students competencies for self-directed and collaborative learning through the effective use of ICT. 3) Enhance ICT infrastructure to support and build resources that will facilitate effective teaching and learning. 4) Develop students to become discerning and responsible ICT users. 5) Provide differentiated professional development that allows ICT to be effectively used to help students learn better. 6) Improve personal mastery of ICT skills amongst staff and encourage sharing of best practices and successful innovations.

What is Cyber Wellness?


Cyber Wellness refers to the positive well-being of Internet users. It involves an understanding of the risks of harmful online behaviours, an awareness of how to protect oneself and other Internet users from such behaviours.

SMB allows us to communicate within an organization effectively, members in the organization can communicate within groups or communicate with individuals privately. Using email as a tool to communicate is very common, but there are some problems: 1. One might not know whether recipients have read his mail ( by default ). 2. If many people have replied to your mail, there will be many replied mails and it may be difficult to collaborate. 3. Housekeeping of an email account like purging mails can be time consuming. 4. It can be slow when you send a mail to many people, because many copies of the mail have to be sent. 5. When reading mails, one may find that work related mails are mixed with many other mails and it can be messy. 6. Once you send a mail with a mistake, there is no way of correcting it.

If you want to communicate internally in your organization, then SMB can be a better choice. The reasons: 1. The staff in your organization will be more focused in dealing with work related electronic communications. 2. It is more effective not just in terms of speed, it also overcomes some of the drawbacks in using E-mail mentioned above. 3. With the SMB which is used for internal communication and normal E-mail for external communication, it will help your staff to compartmentalize their communications with others. 4. SMB provides some good features for communication, which are described below.

Some of the useful SMB features are: The person who sends the message to a group or individual can: 1. easily find out who has or has not read the message 2. read the replies or responses to the message within one screen 3. send emails out to alert members who have not read the message Easy to access message : 1. Messages can be grouped according to senders, recipients and posting dates 2. You can choose to view all messages, unread messages and your own messages No housekeeping is required: 1. Old messages will either be purged away or archived automatically 2. Users can go to the archive to read messages Simple and straight forward to use: 1. The screen layout of the SMB is very simple and user-friendly 2. Since it is easy to use and straight forward, there is no training requirement

View Messages Once logging in to the SMB, you will see a list of messages posted to you. Other than reading the content of the messages, you can also do many other things such as seeing how many people have read a message or who has or has not read your message. Lists of things that can be done are given below: 1. Read the content of a message and respond to the message if necessary 2. Find out people who have already read your message and their responses to the message 3. Find out people who have not read your message

View Messages 4. Select what messages to be displayed, such as all messages or unread messages etc ... 5. Sort messages by "posting date", "poster" or "recipient group" 6. Email to people who have not read your message 7. Update or delete messages you have posted 8. Response to the message 9. Reply to the message ( different from the response )

A snap shot of the view message screen is shown below:

Headings of the message list Column 1 (U): To indicate whether the message has been updated and how many times. Column 2 (Post Date): This shows when the message was posted. It can be clicked to sort the dates in descending order. Column 3 (From): This shows who sent the message. It can be clicked to sort the senders. Column 4 (Message Heading): This is the heading of the message. Click the heading of the message to view content. Column 5 (Attention): The group to receive the message. Different colours indicate natures of the message: Green: For information Purple: Need response Pink Important Red: Urgent

Column 6 (Viewers): Numbers under this heading show how many people have viewed the message. If it appears as a hyperlink, then clicking on it will allow you to see who have read the message and also their responses. A list of people who have not read the message can also be displayed. Column 7 (U): A button means it is your message. You can click it to update or delete the message.

Display the required messages only The hyperlinks on top of the message list ( All |Unread | Updated | My Message | ) allow you to select a subset of the messages you want to view: All All messages Unread Messages which you have not read Updated Messages which have been updated by poster My Message Messages posted by you

Sort the message list Messages can be sorted by "posting date", "poster's userid" and "group name" the message is attention to. To do this, simply click the buttons, and in the message list heading respectively.

Find out people who have read the message and their responses if any For each message there is a number in the "Viewers" column showing how many people have already read that message, if that number is an hyperlink (blue color number eg. 32 ) than you can click that number to find out those people who have read the message; it also displayed when the people have read the message, their responses to the message. Find out people who have not read the message In the screen which shows the list of people who have not read the message, there is an hyperlink not read list at the top of the screen, click that and a list of people who have not read that message will be displayed. Email to people who have not read your message To do that, click the not read list to view a list of people who have not read your message, at the bottom of the listing there is a button for you to send email to those people. Update or delete your own message You are able to update or delete message you have posted, click button at the last column of the message and the message content will be displayed; you can then update or delete your message.

Response to the message Some messages require you to respond to it, depending on the instruction given in the message you may either click on options A, B, C, D or E. Further more you may enter brief remarks in the text box below the message. After the respond, click button and your respond will be recorded. See below: Your response: A B C D E

Functions There are Four main functions in the SMB: 1. View messages 2. Post messages 3. View archived messages 4. Utilities How to execute a function

On the top of SMB screen, there is a blue banner acting as a main menu for the user to select one of the functions. To invoke the function, simply click the corresponding icons in the banner, see below: Log out function and current user The SMB banner also shows who is currently logged in by displaying his/her userid. User can also log out from the SMB banner for security reason. The default function when logging in to the SMB, the "View" function is executed and therefore you can see a list of messages in the first screen after logging in.

Post Messages You can post message to a group of peoples or individuals. Message can be classified into group message or private message. Group message can only be viewed by peoples in the group and private message can only be viewed by individuals privately. There are also other aspects of a message, such as: 1. How many days the message will stay 2. The priority of the message ( does it require response? ) 3. Do you want the message to be archived 4. Attach files to the message etc ..... For these aspects of the message, please refer to the post message screen shown below for further explanation later :

How to post a message? Simply enter the required text and options which are explained below: 1. Header : Enter your message heading 2. To Group: Select a group or several groups ( use Ctrl key ) that the message is posted to. 3. To user: Select an user or several users ( use Ctrl key ) that the message is posted to. Messages posted to the users are termed as private messages. The entry *MyPteGroup is your Private group which can be customized by you ( in Utility ) to include your selected users. (Note: Message can be posted to groups and users at the same time.) 4. Stay for days : Enter the number of days the message will stay. 5. Message Content: Enter content of the message 6. Save as: Text/Html Text-Only HTML: Message can be saved as Text/Html ( the most common format ) or Text-Only ( purly text, no HTML Tag ) or HTML ( all spaces and lines are ignored when view).

7. Priority: Information Need Response Urgent Important Choose Need Response when you require viewer to respond to your message, other options simply indicate the priority of the message. 8. To Archive: No Yes: Indicate whether the message will be archived when expired. 9. Other can see Viewers: No Yes: Allow other to view who has read the message and the response to the message . 10. Strictly view by Group: No Yes Only the people in the group can view the message, i.e people with management status cannot view. Note that by default the person with management or administration status can view all group messages. 11. Email Reminder: days before expiry Enter a number N such that emails will be sent to those people who have not read the message when it is N days before expiry. 12. E M B Reminder: days before expiry Enter a number N such that this message will be highlighted in RED and also be placed at the top of the message list for viewing when it is N days before expiry. 13. The button: Click on it, the message will be posted. 14. Attachment can be done after the message is posted Once the button is clicked, the next screen will confirm that the message is posted and the sender can also attach files in this screen.

View Archived Messages Once the message is expired, it will be saved in another place if the owner of the message wanted it to be archived. To view the achived messages, you can click the icon in the main menu. A snap shot of the archived messages is shown below:

The above archived message list screen is very similar to view message list. Searching for a particular archived message You can use the sorting feature either by posting date, sender or recipient to speedily search for your message. Read responses of an archived message For message which requires response, you can click the V which is at the last column of the message list, to view the responses from the viewers. Removing of the archived messages Administrator can remove any archived message from the SMB.

Utility The Utility function of the SMB allows you to: 1. View a list of users using the message board 2. Update your own account, such as your account name and email address 3. Find out what are the SMB groups you belong to If you are a group administrator, you can also 1. Invite users to your group or remove members from it 2. Maintain accounts of the groups you are administrating, such as update accounts of the groups and reset passwords of the members in your group.

To use the Utility functions, you can click the icon in the main menu. You will see the Utility screen shown below:

View Users List In the list, you will see all accounts of the SMB. It displays the userid, name and email address of the user. Update my Account You can update your account name and email address. View my Grouping Through this, you are able to find out the groups you belong to and also who are the administrators of these groups. MyPteGroup ( New ) You can select a list of users to be included in your private group so that when post a message to these users, you just need only

Additional functions if you are a group adminstrator Groups Maintenance As a group administrator, you are able to maintain accounts in your groups. In the Utility screen shown above, the current user is the group administrators of two groups, Part-Timers and Admin and Support. By clicking on the group name Part-Timers, he can maintain his group members by adding new members to the group or removing existing members from the group. Group Accounts Maintenance The group administrator can also update accounts of his groups such as updating users' names or email addresses. Further more, the group administrator can reset passwords of the members who have forgotten their passwords.
