QueenslandYouthOrchestrasisanonprofitorganisationbasedinBrisbane.Theirexistingwebsite
waslastupdatedaboutoneyearago(atacostofover$1000)andishostedfreeofchargebyanISP
duetotheirnonprofitstatus.Thecurrentwebsiterequiresindepthwebdeveloperknowledgeto
update,andtheclientwantstomovetoanopenCMS(E.G.Joomla)tomakeupdatescheaperto
implement.Theexistingwebsitedoesnotpermitonlinepayments,whichtheclientwouldliketo
supportinordertostreamlinetheirpaymentprocessing.
AsQYOisanonprofitorganisation,ithasrelativelylimitedresourcesatitsdisposal.Any
infrastructureanddesigndecisionsneedtotakeintoaccounttheongoingmaintenancecostsofthe
system.

ProjectDescription
1. CreateanewwebsiteforQueenslandYouthOrchestras(QYO).Thecontentofthewebsite
willberoughlythesameastheexistingsite,withminorupdates.Useawebsitesystemthat
ischeaptomaintain(i.e.:Joomlaopensourcecontentmanagementsystem).
2. Incorporateanecommercepageintothesitetoprocesspayments(i.e.:anANZpayment
gateway).
3. QYOwillprovideallcontent(photos,logos,text,mp3andshortvideofiles)forthewebsite
andthecontent(ie.quantityoftextandnumberofwebpages)willbesimilartoQYOs
currentwebsite:www.qyo.org.au

Alldesigndecisionsmustcaterforlowmaintenancecosts,preferablytobedonebynon
expertinhousestaff.

Advertisingthechangestousers.

TechnicalSpecifications
Thewebsitemustworkcorrectlyinallthemajorbrowsers(InternetExplorer7/8,Firefoxetc)and
loadwithinreasonabletimes.Excessiveloadtimecandeterusersfromexploringthewebsiteand
mayencouragethemtouseofflinemethodstocontactQYO,thiswouldincreasetheworkloadofthe
administrationstaff.

Management
Criticalpathanalysis
AscanbeseeninthefollowingGanttchart,themosttimeconsumingaspectofthewebsitecreation
issettingupthestructureandindividualpages.Thisisalsoonthecriticalpathoftheproject,asany
delayalongthispathresultsintheprojectbeingdelayed.Assuch,thispathwillbeundertakenatthe
earliestpossibletimeinordertoreducetheimpactofanydelays.

Businesscase
ThewebsiteiscurrentlyhostedonasmallprivateISPserverforfree.Thishasobviouscostsavings
whencomparedwithaprofessionalhostingservice,butalsorequiresaprofessionaltoapplyany
changestothewebsite.
QYOintendstochangefromtheexistingsystemtoaneasiertomanagecontentmanagement
system(hostedonthesameserver)inordertosimplifythemanagementofthewebsite.Thiswill
reducemaintenancecosts.
Theexistingsitecannotprocessonlinepayments,thenewsitewill.Thiswillpermituserstopaytheir
tuitionfeesimmediately,andwillsavetheofficeadministrationstafftimeinprocessingthe
payments.

Recommendations
Thisreportrecommendsaprofessionalhostingservicewithabuiltincontentmanagementsystem
(i.e.SquareSpace.com).Aservicelikethisincursacostofroughly$500p/a.Thesimplificationofthe
websitemaintenancemakesthiscostwellworththeinvestment.Withtheseonlinemanagement
systemsverylittleknowledgeisrequiredinordertomakechangestothewebsiteonceitisupand
runningandthereisaveryeffectivehelpsystem.Thisnegatestheneedtohireaprofessional
developertoimplementchangesorsecuritysoftwareupdates.

Anticipatedresults
Thewebsitereconstructionisexpectedtobecompletedaheadoftheclientsrequestedcompletion
date(June).Thequalityofthesiteandpaymentsystemwillbeuptoindustrystandards,anyissues
willbecaughtanddealtwithinduringthetestingperiod.

ThisimprovedwebsitewillsaveQYOmoneyinadministrationcostsandreducedtimespentby
administrationstaffprocessingpayments&applicationforms.
