Hostelworld.com work together with over 3000 other websites where guests can book your property. We co-operate with some of the biggest travel websites such as lonelyplanet.com, ryanair.com, travellerspoint.com and airasia.com. When this is done you will receive a notification email. Click on Arrivals on your inbox homepage to see bookings that are due to arrive in the next few days. This is the section in inbox where you mark when your rooms are available online to be booked. Click on Availability and choose either Long Term (where you see your rooms for one year) or Short Term (where you see your rooms for one month). This is found in the reports section of your inbox. The graph shows the total number of beds still available by month for a 12 month period and the calendar shows the number of beds still available on a particular date. Backpack Online is our free online reservation and property management system for your entire property not just the beds you have allocated to Hostelworld.com. Any bookings made on Hostelworld.com or our affiliate sites are automatically sent through and updated on the Backpack Online Property Management System. This means you will no longer have to continuously monitor and update allocation, as it seamlessly updates at reception as well as online. The amount that guests need to pay on arrival, after they have paid 10% deposit online to secure their booking. If you are fully booked, please remove availability to avoid that someone books online for this time. Go to Availability and when you are at the Short Term section change the number of beds to zero for the days you wish to block. Click Update and you will see that those dates have changed to red. If you wish to block the whole month, use the % symbol to the left and choose 0. If you wish to block for several months, use the Long Term section instead. If you are using Backpack Online you can book guests into other properties through the Book Ahead function. Is found in the reports section and shows the total number of bookings for your hostel in the last 12 months and the % of increase or decrease in the number of beds booked. You can have this option on your booking engine so in case your hostel is full for the dates the guest want to book, three other alternatives in your city are showing up. If the guest makes a booking with one of them through your booking engine, you get 30% of the deposit paid back to you. You can choose which properties you wish to recommend through Property Setup in inbox. We can create a customised booking engine which you can add to your own website to receive confirmed online bookings. The bookings are processed as normal and the availability taken from the rooms you have online. Bookings through your own website are charged at a lower commission than normal hostelworld.com bookings. You can read more about this and request a booking engine under Marketing in the inbox. Each time a guest makes a booking for your property you are sent a notification email. You can also receive your notification by SMS text to your mobile phone. If you need to change your contact details you can do so under Property Setup. We recommend you to log in to your inbox regularly to check for new bookings, news from hostelworld.com and marketing opportunities. Quickly retrieve booking by entering the reservation reference number. The pie-chart on the homepage of the inbox shows a breakdown of where your bookings are being generated from. Short for our property management system Backpack Online, www.backpackonline.com If guests want to protect their deposit when they make a booking on hostelworld.com they can pay for cancellation protection. This means that if they cancel the booking online through their account at least 24 hours before arrival they get the deposit credited and can use it again towards a new booking online with us. The cancellation protection is not valid if the guest cancels the booking directly with you at the property. They have to cancel through their online account. Guests can contact you directly to cancel, then you open the booking and click on Reallocate beds to make those beds go back online again so someone else can book them. If guests cancel less than 24 hours in advance you have the right to charge their credit card for the first night's stay less the deposit for that night. Make sure to have an attractive and accurate description, good quality photos and clear directions to your property. There is also the possibility to translate your description into several languages. Click into the Hostelworld.com Translations under Microsite Content. This section is found under Property Setup and then Microsite content. Provide your guests with as clear directions as possible, explaining how they can get from the nearest airport, train- or bus station and/or ferry port to your property. It is also really helpful if you explain where they can buy for example bus or tram tickets, where they can park the car or if you provide transfer. The directions are printed on the guest's confirmation sheet. All bookings coming through hostelworld.com are confirmed reservations, so if you have made a mistake with your allocation and are double booked you still need to take responsibility for the reservation from hostelworld. If customers contact us through their hostelworld account with a query in relation to your property, then we might contact you through inbox. If you have a new message, this will show on the home page when you log in to inbox. You can also click on Messages to see any previous messages sent to you. This is the section in inbox where you edit the information about your property. You can change description, photos and directions when you like. In this section you also have the possibility to upload a video of your property, edit your facilities and choose whether you accept PayPal and debit card bookings. If you require guests to book a minimum number of nights, please contact your account executive to get this set up. Any news about hostelworld or the inbox is added on the homepage of the inbox. Hostelworld sends regular newsletters to you with information and news. We also send you a newsletter when there are changes being made to the system. Newsletters are sent to the personal email address registered for your property. In case you need to change this, click in to property setup and change your details there. In case a guest does not arrive and does not cancel the booking you have the right to charge their credit card for the first nights stay. This can only be done if you have credit card facilities at your property or if your bank can offer any other solution for you. You can not charge for bookings made through PayPal and sometimes Debit cards, you can however block the option for guests to book using these payment methods.

Overbooking All bookings coming through hostelworld.com are confirmed reservations, so if you have made a mistake with your allocation and are overbooked you still need to take responsibility for the reservation from hostelworld. If you are using the hostelworld.com booking engine on your own website to receive confirmed bookings directly from there, we offer you a deal where we pay back some or all of the deposit guests have paid online. To get a booking engine, go to Marketing and click into Booking engine. Once you have ordered one there or asked your contact person to set one up, we will send you a link that you then need to add to your website. Security measures in relation to credit card details set up by the credit card companies in co-operation. Details can be found at www.pcisecuritystandards.org Any new bookings you receive are pending in your inbox and will stay on the front page until you have clicked "I have read this booking". Then the booking goes to the archive and you can find it through the booking finder or through advanced search. In the hostelworld inbox rates are entered per person per night, also if the room is a double or private room. In the property inbox for guesthouses & hotels rates are always entered per room per night. In this inbox however, prices are always set per person per night. In case a review you have received contain defamatory language you can query the review. Beside the review in your inbox you will see "Reply" and "Query", if you click on query you can then write a message to hostelworld.com explaining why you dispute the review. We will then look into it and take appropriate action. The price you set for your rooms and beds online on hostelworld.com. Every guest who books on hostelworld.com or hostels.com receive a review email after their stay and are able to submit their opinion about the property. Your average % rating is based on customer reviews from the past 6 months. Replies need to add value to be activated, for example if the guest said that something was broken during the stay you can reply and say that it is now fixed. We don't activate replies that are just saying 'thanks' and similar. Every guest who books on hostelworld.com or hostels.com receive a review email after their stay and are able to submit their opinion about the property. Your average % rating is based on customer reviews from the past 6 months. If you would like to add your hostelworld reviews to your own website, you can do so by adding the reviews widget. This is available in inbox under Marketing and you just need to ask your webmaster to add the link to your website. With 255 characters you can describe the room you are setting up. When guests hover over that room with the cursor on hostelworld.com they will see your description. Use this option in the room setup to indicate if the room type is Basic, Standard, Deluxe or Superior. You can leave this option blank if it doesn't apply to your rooms. If you wish to get a better position on ryanair.com you can purchase a featured listing and be one of the top properties in your city. Click into the Marketing section in inbox to read more and pay for a featured listing by credit card. Found in the reports section it gives you a detailed breakdown of all your bookings from Hostelworld.com for a year or a specific date range. Use the season's function to set up different rates for different times of the year. Click on Rooms & Rates and add new season. Each season has a start date and runs until the start date of the next season, there are no end dates for the seasons. If you enter 0.00 rates, the price pulled is the one from the previous season.

This section gives you a one month overview over how many beds you have available online. In the room setup, size indicates how many beds there are in this room. If you set up a double room, please indicate 2 as it sleeps two people. In case there is a major event in your area, such as a festival or world cup, contact us to set up special booking conditions for this limited time. In this section you can set up special offers- discounts, bundle offers etc. To set up a 'special' please choose the room type you want to set it up for, enter the new daily rate, minimum nights and description of the offer. Hostelworld.com have made changes to our login area which means we can no longer view your hostel (property) passwords. A temporary password was emailed to each hostel which could then be reset the first time that property logged into their Hostelworld.com inbox. Guests agree to the terms and conditions of hostelworld.com when they are making the reservation online. Upload the video on youtube or any other video website and add the link in your hostelworld inbox under Property Setup and Microsite content. Once the video is approved it will show online. Please don't include any contact details in your video.

To adjust your rates, room types and availability in order to best maximise the return. This means for example that you can change the price of your rooms based on the demand. In the inbox you can set up seasons with different rates as well as change through the daily rates function. In Backpack Online there is a more advanced yield management function available.
