Supervisor records data in his sheet at the end of each day.

As observed, Supervisor can miss out recording workers data due to lack of exact information. There is no mechanism to verify the data entries before submitting the same to Data Recorder. while recording but doesnt care much about it Data sheet is not authorised by any supervisor or higher authorities. There is no provision in Data sheet to record no. Of Hrs worked. There is no system of recording idle time for a worker. If a worker works for 6-7 hours but not for 8 hours in that case the supervisor records in his sheet 8 hours whereas HRIS hours shows the exact swipe out time. There is no system of recording overtime hrs. In data sheet. If a worker is working for 10hours(8 hours +2 hours overtime) in a day, then the swipe machine will show 10hours of work whereas BAAN shows working of only 8hrs.Th is the biggest drawback of BAAN ie BAAN does not show the overtime hours devoted by a workmen. The supervisor sometimes does not record the project number on which the workmen is working Supervisor sometimes keep the worker on some other project rather than the project given to him. THE 1ST shift starts from 6:40 and ends at 3:20 with 40 minutes break time included o By the time the project is assigned it is 7:00 am and the actual work starts from approx 7:10 and the worker starts leaving for lunch at 10.30 approx...So by this time approx half an hour is wasted..Then again the worker resumes work at 11:30 approx and ends at 3:10 .Another 20 minutes has been wasted..In total approx 50 minutes gets waste in the 1st shift AS far as the 2nd shift is concerned, it starts from 8:40 and ends at 5:20 with 40 minutes break in between. By the time the project is assigned it is 9:00 am and the actual works starts at 9:10.. Then there is break from 11:40 to 12:20 But the worker starts leaving their work at 11:30 and then resumes work at 12:30 .If a new project has to be allotted to a worker then also some time is wasted in assigning it Then the worker ends at 5:10 approx. In total approx 50-60 minutes is wasted in a day. The supervisor doesnt sit on the head of workers. They assign task to the workers, stay for a while, guide them and then they leave. Although they visit them frequently but doesnt keep a close watch on them. The supervisor has heavy work load on him. That is why they does not care about the sheet on which they have to record the timings As far as the Data Recorder accountant is concerned , he simply records the entries given to him The Data Recorder accountant just record the entries and then keep the supervisors sheet in the file for which it is assigned . The Time Sheets are kept under custody of supervisors, data recorder does not keep the data entry sheets under his custody. The Data Recorder accountant is least concerned whether the entries are being provided from all the departments or not. He goes to all the departments and collects the supervisor sheet.If he misses out any sheet, he is least interested in asking it again

Accountant then keeps the sheet in the file .There can be a situation where the accountant doesnt keep the sheet in the assigned file and keep it at some other place The supervisor and the accountant are least concerned of how they are recording it as there is no authority to question them, to ask them the way they are entering data, to ask them to produce previous results .That is the reason why the results of previous year have been scrapped or have been missed out. The accountant has also complained sometimes to a senior manager that the supervisors are not giving their sheets but there is no one to look after his problem.

THE MAIN PROBLEM The main problem which the company is facing is There is a big mismatch between HRIS Hours and BAAN Hours The HRIS Hours are recorded with the help of a swap machine on which the workers swipe in on entering 1st then swipe out at the time of a break and then swipe in on resuming work and then swipe out at the time of exit. So we can say that the worker swipe 4 times a day. Mismatch can of due to many reasons HRIS hours recorded BAAN hours not recorded There can be a situation where HRIS hours are recorded but the BAAN hours are not recorded .This can be due to the reason that although the worker was working but on which project he was working was not known, the supervisor may have forgotten to record it HRIS hours are much less than the BAAN hours There is a situation whereas the HRIS hours are much less than the BAAN hours. This can be due to the reason that the BAAN hours have been recorded incorrectly HRIS hours are more than the BAAN hours There can also be a situation whereas HRIS hours are more than the BAAN hours. This can be due to the reason that the overtime hours have not been recorded.
