Exchange Participant Contract 2012- for the Global Internship Programme


This is a formal contract and commitment between AIESEC in Delhi IIT and the Exchange Participant. Both the parties should keep an original copy of this contract with signatures of both, the candidate and the AIESEC representative. Changes that are made after signing this contract need to be drawn up on a new contract.

1.1 Statement of Understanding


AIESECs various exchange activities are run to have an impact on the participants, the AIESEC members involved in making them happen, the company/organisation taking the trainee, the communities the trainee is coming from and going to and through all this, the society. As such, all people who are involved in the exchange process are important in achieving the intended result. The aim of a traineeship shall be to provide the Exchange Participant with following: A positive learning experience Practical skills in a foreign environment to complement his/her education Interaction with social issues in the host community and country and/or territory Interaction with a new social and cultural environment Preparation for future management responsibilities Opportunity to apply skills, attitudes and values at work and in the community Awareness and knowledge of social issues and different practices in the host country

The aim of a traineeship is NOT: To provide an opportunity that the sole purpose is earning money A holiday Intended to be a permanent career placement or recruitment opportunity in another country. If the company/organization decides to employ the trainee on a permanent basis in the host country and/or territory, AIESEC will have no role in facilitating this. A vehicle for any person to permanently leave their home country and/or territory. AIESEC does not encourage the extension of traineeships beyond agreed upon limits.

1.2 Cost Structure of AIESEC Global Internship/Traineeship Program


1. Cost of Application form or Prospectus INR XX. 2. After EP clears Assessment Centre and is selected by AIESEC to apply for AIESEC Global Internship/Traineeship Program, s/he pays a sum of INR Rs.4000/5500/8000 (Non Refundable). This money is non-refundable and is taken as cost of Opportunity to have access to AIESEC Platform and Database for 4 Months (Contract Duration). 3. After an Exchange Participant is selected for an AIESEC Internship/Traineeship by a Company/NGO and the application for VISA is in process, the EP pays the remaining amount as following.

Management or Technical Traineeship (Long Term 12-16 months) Management or Technical Traineeship (Short Term 4-12 months) Development or Education Traineeship (short GIP 2-3 months)

INR 18,000 Recon: Rs 8000 INR 15,000 Recon: Rs 5500 INR 9000 Recon: Rs 4000

4. Visa Charges have to be born by the Exchange Participant. AIESEC will assist the EP with required Documents to apply for VISA and advise on Visa Process. AIESEC does not take any responsibility for the visa charges and they have to be borne entirely by the Exchange Participant. 5. Exchange Participant has to take care of Air Ticket expenses. AIESEC does not take any responsibility for this.

1.3 Duration of EP Contract


1. This contract is initially valid for 4 Months from the month of signing of Contract. The EP has to find an internship/traineeship within this period successfully. 2. If the EP is not able to find an internship/traineeship successfully within first 4 Months then his/her association/participation/involvement with AIESEC shall be reviewed. If EP did not violate any expectations set at the time of signing of contract then AIESEC can renew the contract for 4 more months with no additional cost. 3. In no case the contract shall be stretched more than 8 months. The validity shall lapse automatically post 8 months.

1.4 AIESECs Responsibilities


1. Assist EP in signing up on www.myaiesec.net and obtaining his/her own username and password. 2. Assist EP in filling up surveys and other forms to obtain his/her own EP ID on www.myaiesec.net 3. Induct and Train EP on Information System MyAiesec.net to browse Database. 4. Advise and Assist EP in finding a suitable internship/Traineeship in MyAIESEC.net. If the EP is rejected by Company/NGO then pursue to search and apply for other Internships/traineeships within the duration of Contract.

5. Advise and Assist EP in acquiring the required documentation and legal papers required to go for internship/traineeship after getting selected for one. 6. Advise and Prepare EP for Logistical, Cultural, Personal and Professional front before EP leaves for the country of his/her AIESEC internship/Traineeship. 7. Maintain communication with the EP throughout the duration of the internship. 8. Expectation setting with the EP before internship, and evaluation/measurement during and after the internship. 9. Keep the EP aware of local, national and International AIESEC conferences and activities for him/her to be part of. 10. Assign a role for a returned Exchange Participant in any suitable leadership role in AIESEC for the future.

1.5 Exchange Participants Responsibilities


1. Take active role in obtaining username and password for MyAiesec.net. 2. Complete and Fill other forms, surveys in order to get an appropriate EP ID in MyAiesec.net. 3. Provide genuine original documents as proof of academic background and working experience mentioned on the Resume. 4. Take active role of searching and communication to find a suitable Internship/Traineeship with the help of AIESEC member. 5. Take active part in AIESEC LC acitivities, seminars, workshops, conferences etc. Its mandatory to attend all the events and activities organized by sending LC specifically for all Eps with prior notification. 6. Take active part in LC activities and conferences during the course of AIESEC Internship/Traineeship. 7. Abide by the Expectations, rules and communication standards set during the time of contract signing. 8. Regular Communication with the AIESEC LC about the progress on finding a suitable Internship/Traineeship. 9. Timely acquire the necessary legal documents required to apply for Visa after getting selected for Internship/Traineeship as per the Start Date of Internship/Traineeship. 10. Incur expenses related to obtaining VISA and Air Ticket. 11. Please fill the feedback form so that we can serve you better. 12. Please refer to section 1.8

1.6 Termination/Expulsion from Program

1. The EP shall be terminated from AIESEC if its found that s/he is using AIESEC as a platform for migrating to another country. 2. If the EP deliberately violates the rules, communication standards and expectations set at the time of contract signing. 3. If the documents provided by the EP as proof of academic backgrounds and working experience are found to be fake. 4. If its found that EP is using AIESEC as a platform for any illegal or unethical means for selfish reasons. 5. The EP is not allowed to reject Traineeship on the basis of Stipend. All AIESEC Traineeships provide stidpend good enough to cover Food and Accomodation costs during Traineeship. 6. The EP is not allowed to reject Traineeship on the basis of Geographical preferences. These preferences are discussed during the time of Expectation Setting and Contact signing. 7. The EP cant backout after the EP Acceptance Note had been sent to the Company/NGO. If s/he is selected by the company and the EP backs out, s/he is immediately terminated from AIESEC. 8. Communication is the key to timely delivery of services on behalf of AIESEC. It is imperative for the candidate to maintain clear channels of communication with the AIESEC responsible and respond to all sorts of communication within 48 hours. The channel of communication can be through e-mail, phone or personal meetings, as desired by the candidate.

1.7 Annexures
Please furnish the following documents at the time of signing up for an AIESEC internship : 1. Marksheets- Class 12, Graduation, Post Graduation (if completed) 2. An SOP (Statement of Purpose) 3. A Detailed CV with relevant experience in relation to the prospective international opportunity (both hard copy and soft copy)

1.8 Additional Clauses


1. 2. 3. 4. 5. 6. The Exchange Participant shall be given the option of searching for a suitable opportunity with the assistance of an AIESEC representative. These opportunities can only be demanded ONLY IF the relevant experience and educational qualifications of the candidate are deemed satisfactory to participate in the process. AIESEC does not take any responsibility for the candidates rejection by any company abroad tying up with AIESEC (please refer to the point stated above) An Exchange Participant will only be given CONFIRMED status in terms of the opportunity if all the payments made and documents submitted to AIESEC in Delhi IIT are approved. Failure to do so will result in automatic termination of the contract . The Exchange Participant will be open to travel to any of the 110 countries by giving a PREFERENCE.

This GEOGRAPHICAL PREFERENCE shall not be treated as an obligation for AIESEC and the candidate will be granted access to all companies listed within this geographical preference. 8. Payment shall be prompt and can be by way of cash, cheque or demand draft in favour of AIESEC DI. 9. These internships are all related to the fields of management and technology and acceptance only depends on availability of opportunities about which you will be briefed by the AIESEC representative
