How to Process a Book Request in ILLIAD

1. Open Awaiting Request Processing File, select a request, and double click

to open it.
2. Click on OCLC tab. This will usually highlight the correct record you need,

but not always. To be certain, once you are in OCLC, click the search button next to the Scan Title function. This will take you to a highlighted title which you should click on, since it will take you to all editions of the book you need.
3. Once you have pulled up the menu of the titles you need, check to see:

a. Which ones are written by the author you are looking for, since more than one book can have the same title; b. If any of those books are owned by our library; c. If the book we own happens to be the edition the patron wants;
4. Two things are possible at this point: if we own the book, the book needs to

be routed to either extensive searching or document delivery, depending on the status of the patron, so the request can be filled from our collection. If we dont own it, we proceed on with the remaining steps of the request.
5. In looking at the menu of titles, again you will notice that OCLC has

highlighted the most appropriate title, usually the one with the most holdings, but do not automatically accept it without looking at the publication dates and holdings listed for the list, since it may not be the most recent edition. When at all possible, unless the patron has stipulated otherwise, choose the most recent edition, but only when it has a reasonable number of holdings for obtaining it.
6. Once you have decided on a record, open it. Click on the Holdings tab,

then mouse down to Custom Holdings, then onto the menu on the right hand side and click on LVIS. This will bring up our free/reciprocal holders for this item.

7. Once open, you will notice it is arranged in the following groups: UGA

System (for the other libraries in the university system of GA), Other GA (for other academic, public, and special libraries in our state), Recips (for libraries with which we have signed reciprocal agreements), Outstate (for members of S06), LVIS (for members of LVIS), and ILLIST, which is for libraries who have indicated on the ILL listserv or on their OCLC policies that they are free or we charge what you charge lenders. To choose lenders, start with the UGA system first, then move outward by distance geographically. Smaller libraries are more likely to turnaround faster than larger libraries do, and academic libraries more likely to respond quicker than public libraries. Also remember that public libraries are unlikely to loan anything published within the past calendar year. And when in doubt, check a librarys policy in OCLC to see what they are willing to loan before choosing them as a lender if it is something other than an ordinary item.
8. To assemble the lender string, click on each library you wish to add. (Any

library that has a small 2 after it is an Enter My Symbol Twice library, and will have its symbol automatically entered twice.) Once you have five symbols entered, click on the Create Workform button below the box of symbols.
9. The workform appears. If you are satisfied with the result, and have not had

to look up additional holders which charge and add that $ amount in the IFM box, click the Send Request button at the right hand on top.
10. The request is now active and will show Pending status. To fully finish the

process of sending it, click the Request Sent button on the left hand on top. This will close the request ,moving it on to the Request Sent category in ILLIAD, and transferring you back to the top of the Awaiting Requests menu.
