Importance of writing:
Writing is one of the most important transferable skills that workers possess.

Most business professionals, such as marketing, finance,


research and development managers, need excellent writing skills to properly convey ideas and concepts.

Writing skills are important in many types of company communications, including emails, reports, presentations, company brochures, sales materials, and visual aids, etc.

Writing helps you to express yourself.


Writing is how much of the world communicates.

Writing can be a great tool to help you know more about the way you think. Writing is one of the way that we translate our thoughts in written form for other people.

Writing stimulates you to extend a line of thought beyond your first impression or gut responses. Writing is the primary basis upon which your work, your learning, and your intellect will be judged in college/university, in the workplace, and in the community.

Writing expresses who you are as a person. Writing is portable and permanent. It makes your thinking visible. Writing promotes your ability to pose worthwhile questions. Writing fosters your ability to explain a complex position to readers and to yourself.

Formal writing:
The official, business letters and special reports that is written in a specific manner is known as formal writing.

Example:
During a regular business day, a person writes emails to employees notifying them of meetings or providing instructions for specific projects. These written messages must be concise and self-explanatory, so workers can be productive and not waste time asking for further instructions.

Important features:
Longer sentences. Conservative punctuation. Contraction and abbreviation. Personal pronoun (third person)

Informal writing:
The report or writing which is other than official or business writing is called informal writing. Informal writing may include broken syntax, humor, and so on.

Business Writing Objectives:


Basic objectives of business writing includes: Cover audience Judgment of behaviors Describing organization behavior To describe conditions To inform degree of organization For Schedule setting e.g. time framework

Establish identity and to build the image of the organization, its propel as well its products and services. Business writing Improve dealer and customer relations. Receive information and send information to various publics. Condition the environment, primarily the range of stakeholders, and the employees for a change or a set of changes about to take place.

Vocabulary:
A list or collection of words and phrases usually alphabetically arranged and explained or define. A vocabulary usually develops with age, and serves as a useful and fundamental tool for communication and acquiring knowledge.

Punctuation:
The marks, such as period, colons, semicolons, comma, and parentheses, used in Business writing to separate sentences and their elements and to clarify meaning. Proper use of Punctuation Marks a higher level of communication. It raises your credibility in the mind of the reader.

Punctuation Marks:

Examples:
Punctuation matters in business writing. Punctuate the following statement: A woman without her man is nothing. One way to punctuate is "A woman, without her man, is nothing." OR Punctuation could be: "A woman: without her, man is nothing."

Another Way:

Spelling:
Believe it or not, spelling errors can doom business relations. Clients and business associates notice when your letters arent proof read. Many spelling errors are easily Catch by your computers spell-check program. But beware spell checkers dont catch all the errors that can creep into a document. A trained eye is still better than a spell-check program.

Examples:
Words that sound the same but have different spelling and meaning: all ready/already

At last I was all ready to go, but everyone had already left.
all right/alright

Will you be all right on your own? He does alright in school.

Importance of punctuation & spelling:


The use of proper punctuation and Spelling in your written communications establishes positive environments for professional relationships with clients, colleagues, employees and supervisors. Clients and associates take you seriously and welcome opportunities to work with you when they see you can deliver your messages with power, clarity and precision.

Grammar:
Use simple sentence rather than vague language.

Use active voice whenever possible. Active voice means


the subject is performing the verb. Like, The Professor teaches the students. Avoid overusing there is, there are, it is, it was, and so on.

To avoid confusion, don't use two negatives to make a positive. Use similar grammatical form when offering several ideas. This is called parallel construction.

Example:
Incorrect: You should check your spelling, grammar, and punctuating. Correct: You should check your spelling, grammar, and punctuation.

If you start a sentence with an action, place the actor immediately after or you will have created the infamous dangling modifier. Example: Incorrect: While walking across the street, the bus hit her. Correct: While walking across the street, she was hit by a bus.

Place modifiers near the words they modify.


Example: Incorrect: I have some pound cake Mollie baked in my lunch bag. Correct: In my lunch bag, I have some pound cake that Mollie baked.

A sentence fragment occurs when you have only a phrase or weak clause but are missing a strong clause.
Example of Sentence Fragment: After the show ended. Example of Sentence: After the show ended, we had coffee.

You must be very clear about your topic
and idea should not be vague.

Text must be narrow and manageable.

Organization:
Your text must be organized in chronological order. Move toward logical and thoughtful ending. Conclusion must be appropriate.

Right word must be used at right place at right time. Words must be striking and memorable.

Sentence Fluency:
Your sentence must be simple or short, avoid long sentences and repetition.

Conventions:
Spellings, grammar and punctuation must be correct even with difficult words.
