Where to find supplies: General office supplies are in the black filing cabinet by the kitchen area. Other things, such as
candy, envelopes, and computer parts are found in the cabinets above the sink.

How to check where to sit: Upon arrival, open ACT at the production table (near the lobby) and check the master
calendar to see who is not in the office today / who is using the conference room.

COMPUTER PROGRAMS
All of these programs should be kept running while at work.

a) Microsoft Outlook- Used for all email correspondence. Username is


(firstname)@shostcpa.com
Helpful Hint: Be sure to update the extension part of your email signature every time you
work at a different cube.

b) Sage ACT Used to keep an up to date calendar and save client info. Username is full
name. No PW required.
Helpful Hint: Use the Select users button to alternate between your calendar and everyones
calendar. The master calendar shows all meetings during the time period youve selected.

c) XCM Used to monitor the flow of jobs and assign tasks to specific employees. Can be
found online. Open browser, and go to www.xcmsolutions.com/home, and use Client Login.
Username will be (firstname)@shostcpa.com
Helpful Hint: Be sure to move your tasks once complete. This can be done by clicking the
move task button and choosing what is to be done / who to assign the document to

d) CCH Time Entry Used to log time. Username will be your initials. No PW required
Helpful Hint: See page 5 for common time entries

e) CCH Tax Used to generate actual tax return. Username will be your initials. No PW
required.
Helpful Hint: Use Alt+I to quickly travel to the Interview Forms, and Alt+G to quickly travel to
the Government Forms

COMMON TIMESHEET ENTRIES


050 Billing: Use for any time spent printing / mailing bills to clients. Only bill to SHOSTCO.
065 Read Publications: Use this to bill any downtime you incur. Only bill to SHOSTCO.
090 Timesheet Preparation: This should be your time spent doing timesheet adjustments. Usually .1 per
day. Only bill to SHOSTCO.
070 Administrative: This is very broad, and should be used for things such as taking food orders, time
spent driving to pick up food or file papers, and general computer setup. Only bill to SHOSTCO.
075 Computer Problems: Time spent not working due to computer problems. Only bill to SHOSTCO.
205 1040 Preparation: Time spent working on a taxpayers 1040. This includes time spent printing and
reviewing. Note: for a dependents return, bill as 240 Child Return. Bill to client you are working on.
950 Firm Mileage Expense: After completing a trip using your own vehicle, calculate the expense by doing
miles * .54. Enter the formula in the comments of the entry and the expense in the portion where time spent
usually goes. Only bill to SHOSTCO.
970 Billable Mileage Expense: Same as 950 Firm Mileage Expense, except used for billing mileage
when making a delivery to a client. Bill to client you made the delivery to.

DO always place any items with

DONT ask for help without checking


the prior year return to see if you can
find the answer there first
DONT use the K-1, A-6, or 1099MISC forms in CCH Tax. Instead, enter
relevant info into 1065 K-1, A-5,
and C-1.
DONT use numerical connectors for
numerical data when referencing
support
DONT forget to name an
email / file when emailing
items from the copier.
DONT interrupt anyone in a
meeting with a client or other staff
member. Instead, send them an
email if it cannot wait.

Note: Form refers to the form name/number in the Interview portion of CCH tax, and Box refers to a specific box on that form.

Proof of Healthcare Form 1095 A, B, or C. If form simply states they had healthcare for 12 months, use B

Personal Taxes Paid Form A5. This includes item such as local vehicle registration fees

Prior Years Tax Prep Fee Form A-4 Box 84. Check the WIP spreadsheet saved in Document under SHOSTCO. Print the relevant info to a PDF and save and
cross reference in support.

Income that did not come from a W-2 Enter income into Gross Receipts in C-1 and the expenses in C-2. Be sure to check the 1040 Quickfinder manual
to find the job code associated with the type of work performed, and enter it into Job Code on C-1.

Rental Income Form E-1 for revenue and form E-2 for expenses.

W-2 Income Form W-2. Be sure to enter ALL info provided on the W-2.

Interest / Dividend Income Form 1099 Div. Only info important on this form is the institution name and amount paid. Create separate forms for different
institutions.

Tuition Paid Form 1098 T. If no 1098-T provided by client, enter tuition paid into Form 1098-T and make a note for reviewer to see.
