Effective Communication In The

Work Place

INTRODUCTION
Communication is very important for the human beings. It really regulates
and shapes all human behavior.

Communication is the mechanism through which human relations exist and


develop. It has been broadly define as the act of transferring information
from one place to another and the understanding of meaning.

In an organization it is the consideration, analysis, and criticism of the role


of communication in organizational contexts.

Hardee's is an American Halal fast food restaurant chain, operating in


Southern and Midwestern United State, Middle East, Central Asia and North
Africa.

INTRODUCTION
It all started back in the 1960s when Wilbur Hardee opened the first
Hardees in Rocky Mount, North Carolina and now operated by CKE
Restaurants, the parent company of Carls Jrwhich has aligned the
menus, logos and advertising of the two brands.

This fast food chain is running in 15 countries, operates over 2000 quick
service restaurants in 32 of Americas 50 states and over 200 outlets
outside America.

However, it recently started in Pakistan in 2009, at Lahore M.M.Alam road.


In whole there are 11 outlets working in Pakistan, and out of which there is
only one branch in Karachi. The Middle Eastern and Central Asian branch
get their order from their main office in Dubai. All decisions regarding the
Billboards, translite and menu are taken in Dubai.

SCOPE
We all know that when someone gives a message or idea, it is
essential for the sender to understand the scope of that and for
the recipient to understand the purpose of the communication.

Now if these understanding do not exist, then there is little


chance of the communication being effective.

And one more thing, although the recipient who must understand
the purpose, it is the responsibility of the communicator to ensure
that the purpose is clearly identified.

In this study of Hardees communication structure we learned


that Management is the means of achieving organizational goals.

SCOPE
Efficiency and effectiveness of management depend on
effective communication with the various internal and
external parties.

In fact, without information(transferring of messages) plans


cannot be formulated, activities cannot be organized, directives
cannot be issued and control cannot be ensured.

LITERATURE REVIEW

Communication in the organization represents a complex system of the


flow of information, orders, wishes and references made out of two
partially complementary systems: formal communication network and
informal communication network. (Fox; 2001, 41.)

In 1938, Barnards book The Functions of the Executive claimed that,


The first function of the executive is to develop and maintain a system of
communications (Barnard, p.226).

Barnard emphasizes that managers need to communicate effectively and


the key responsibility for communication is that it must be understandable,
messages need to be aligned with company purpose and employee
interest and employee be able to act upon the message (p.165)

LITERATURE REVIEW

According to Huse and Bowditch (1973), an organization is effective and


efficient when it has the ability to be integrated and to consider three
different perspectives simultaneously: structural design, flow and human
factors.

Looking into this further, a literature review by Campbell (1977) found


that more than 30 different criteria were used for the measurement of
organizational effectiveness (Praeger, 1986).

These measurement criteria ranged from specific aspects of


organizational effectiveness to a global view. Campbells (1977) review
also finds some of the measurement criteria to be inconsistent, in that
few studies used multivariate measures of effectiveness and the same
criteria were rarely used across studies (Praeger, 1986).

LITERATURE REVIEW

Research done on the organization (Hardees) shows that limited means of


communication within and outside the workplace hampering the sales and
productivity of the organization.

According to Watson Wyatt (2004) study, An organization that


communicates effectively use technology to amplify their messages (p.7).

These organizations used the web as the primary means of


communication.

A similar study on the organization conducted by Sundus Liaqat on


Hardees Islamabad emphasizes that the communication patterns are
strict, with pre-set rules related to everything from greeting the customers
to taking orders etc.

Workplace communicationis the process of exchanging information, both


verbal and non-verbal, within an organization.

An organization may consist of employees from different parts of the society.


In order to unite the activities of all employees,communication is crucial.

Communicating necessary information to the entire workforce becomes


necessary.

Effective workplace communication ensures that all the organizational


objectives are achieved.

The following are the factors influencing workplace communication

Content:

The content of the information plays a major role in workplace communication. The
level of detail must be according to the grasping capacity of the audience. Giving too
much detail may get the audience bored and too little detail wont make them
involved. Use ofjargonwhile communicating is not considered good for effective
workplace communication.
Frequency:

While formal workplace communication that is done too rarely or too often is not good
for an organization, frequent informal workplace communication has its benefits.

A perfect balance is required for the proper functioning of an organization.


Information must be communicated as and when required rather than holding
unnecessary meetings frequently.

At the same time crucial information must not be held till the last hour or day, instead
they have to be communicated as early as possible to get the employees in tune with
the objectives of the organization.

Skills:
Getting the message across efficiently depends on the skills of the
communicator such as presentation skills, group facilitation skills and
written communication skills.

Successful communication also depends upon the capacity of the


employees to understand the information.

This requires providing the employees some basic financial literacy like
financial statements, sales, profitability, etc.

Workplace communication is tremendously important to organizations


because it increases productivity and efficiency.

Misunderstandings that cause fiction between people can be avoided by


effective workplace communication.

Skills:
Effective communication, also called open communication, prevents
barriers from forming among individuals within companies that might
impede progress in striving to reach a common goal.

For businesses to function as desired, managers and upper-level


employees must be able to interact clearly and effectively with each
other through verbal communication and non-verbal communication to
achieve specific business goals.
