Organizational policies and

procedures report
Organizations usepolicies and

proceduresdocuments to record their rules

and regulations.
A Policy & Procedures Manual is a written
record of the agreed policies and practices of
an organization. It should be readily available
to all people involved in the management or
work of an organization.
The Manual should be kept in a loose leaf file
so that it can be updated and added to as
polices and practices are reviewed and
amended.

What are Policies &

Procedures?
A Policy is a statement of agreed intent that clearly set out

an organizations views with respect to a particular matter.

It is a set of principles or rules that provide a definite
direction for an organization.
Policies assist in defining what must be done.
A Procedure/Practice is a clear step by step method for
implementing an organizations policy or responsibility.
Procedures describe a logical sequence of activities or
processes that are to be followed to complete a task or
function in a correct and consistent manner.

Why have Policy

reports?
So people working in an organization can

have a framework for actions that help them

get on with the job they need to do.
Tool in quality improvement.
So employees in the organization dont have
to keep on discussing and re-discussing the
same issues every time they arise.
So legal and other requirements can be met.

Contract Progress
Report
The largest class of technical reports in circulation are

contract progress report that are prepared regularly

(often monthly) by the contractor administrator during
the construction phase and issued to the client. They
will generally be a summary of the reports received
and discussions held at construction progress
meetings.
Purpose of contract progress report.
Precautions for COR.

Structure of report
Progress reports normally address the following

topics:
Project status;
Measurement of achievements against objectives;
Problems encountered;
Actions taken to correct deficiencies;
Percentage of work completed;
Acceptability of the work;
Work remaining;
Evaluation.

Contract Final Report

Probably the most valuable technical report, for they

generally give a good overview of the research

performed under contract, and have some editorial
review before release. There is a great variety in the
format, distribution, and indexing of these contract
final reports.

Committee Type Reports

The findings and conclusions of research by scientific

advisory groups. Most of these reports include

bibliographic annotations, but their style varies
greatly. They often have poor distribution are are
usually not adequately described in references. Series
designations, for example, are often ignored in
descriptions of these reports.

Functional Specification Document

This document is normally associated with a new

product and in particular software. You are trying to

capture the full functionality of the offering, in as
much detail as possible. Functional specifications are
often dense and a poor test of a writer's skill as they
tend to deliver wordy descriptions which encapsulate
all requirements.
