Sum total of these comm. principles is
known as Seven ( 7 ) Cs

1. Completeness
2. Conciseness
3. Consideration
4. Concreteness
5. Clarity
6. Courtesy
7. Correctness

1. COMPLETENESS
Message should contain all facts and figures which
the reader / listener needs for understanding
Both the sender and receiver differ in their mental
filters, and are influenced by their own attitudes
in the interpretation of the message
Because of these differences, see your message
through the eyes / ears of the receiver / listener

COMPLETENESS

Provide all necessary information that the reader needs


for accurate understanding
answer the 5 ws :who, what, when,where, why

Answer all questions asked: stated and implied

Give something extra When Desirable for the complete


clarification of your message

Complete Message

Brings the desired +ve results without the expense of any


additional messages

Builds goodwill as the complete messages display concern


for the reader / listener

Eliminates misunderstandings, confusions as well as misinterpretations

Saves the cost in terms of valuable time, money and efforts

Incomplete Message
My letter for an interview call has not
been replied as yet

When was letter sent ? Who sent it ? To whom was it sent ?

Please inform by return the flight details from Lahore

2. CONCISENESS
saying what you have to say in the fewest possible words
without being wordy and superfluous
Benefits :

Eliminates unnecessary words, repetitions and length

Includes only relevant material, and thus saves time of both


the parties : sender as well as receiver

Sticks to the purpose of the message, and thus shows youview interest to the receiver

2. CONCISENESS

It was highlighted by the General Manager that we must be in


need to increase our sales figures and volume

3. CONSIDERATION
Preparing every message keeping the
receiver in mind.

You dont lose your temper : self-discipline


You dont blame and accuse without solid facts
You show respect to others feelings / empathy
You are well aware of the receivers problems,
situations and emotions

3. CONSIDERATION

Focus on YOU instead of I / We

Be +ve and emphasize pleasant facts

Highlight benefits/interests for the receiver

Feel your message from readers viewpoint

Consciously use +ve words as the reader reacts


favorably to +ve and respecting tone

4. CONCRETENESS
Being specific, definite and vivid rather than
vague and general in the message

Use specific facts and figures


Put actions in your dynamic verbs
Choose vivid, image-building words
