Main Menu
Co-Marketing Home Page

• The Co-Marketing Funds Home page includes


the following sections:
• Desktop Toolbar- located along the top of the
page- Allows you to quickly access pages within
the tool
• Right Navigation Pane- My Co-op Balance and
My Programs
• My Co-op Balance- If you are eligible for a co-op
program, you can view your balance by hovering
the cursor over the My Co-op Balance section.
• My Programs- If you are eligible for multiple
programs, they will be listed under the My
Programs section
Co-Marketing Funds Home Page- My Action Items

• My Action Items displays any Projects or


Claims that may require your action
• My Actions Items include the following fields:
• Type ID (Project/Claim ID)
• Program/Project Activity
• Status(Approved, Incomplete)
• Amounts
• Expiration Date
• # Claims
• Action link(Claim, Edit )

Note: the Action column contains a Action link. Click the link to perform the action

Create and Save a Project
• To create a Project from the Co-Marketing
Funds Home page
• Go to My Programs
• Click the NEW PROJECT link
• The Project Entry page appears
• Navigate to Project Details
Project Details
• Complete the following required* fields:
• Enter Project Name
• Select Project Start Date
• Select Project Completion Date
• Select Activity Type
• Select Vertical Segment(s)
• Select Products(s)
• Select Country(s) the Activity Will
Support

Note: Funds Category will be automatically populated if you only have one. If there are multiple fund categories available,
you will need to choose one from the dropdown.
Projects Details continued
• Enter the following required field
information
• Project Description
• Total Cost of Activity
• Reimbursement Percentage
• Review the Proof of Performance
Requirements section
• It displays POP REQUIREMENTS for the
claim depending on the Activity Type selected
• Enter the Estimated Marketing Activity
Results that you expect from the activity

Note: Metrics will differ depending on the activity type


selected. During the claiming process, you enter the actual
metrics.
Upload Documents/Add Comments
• Upload Documents is optional. (ie
marketing plan or any supporting
documentation for your project to
assist in the approval process)
• Select Document Type
• Click the Browse button to locate file
• Click the Upload button
• Enter any optional Comments
• Click the Add button
• Click Submit to send the Project to
Zebra for approval
• Click Save if Project is not ready to
submit to Zebra
.
Note: Save flags the project status as Not Submitted. The Project appears in the My Action Items section of the MDF Home page
for you to submit when ready

My Projects
• To check the status of your Projects,
Click MY PROJECTS to display the
Projects page
• The Projects page contains a
Project Search section used to
specify search criteria
• Enter search criteria
• Click the Search button
• You can also create a new project
from the Projects page
• Click the New Project button within the
Enter New Project section

Create and Save a Claim
• After a project activity has been
completed, create a Claim from the
MY ACTION ITEMS section of the
CO-Marketing Funds Home page
• Click the Claim link under the Action
column
• The Claim Entry form appears
Create and Save a Claim
• Navigate to the Marketing Activity
Results (ROI)
• The system displays the estimated
metrics when the project was
submitted
• Enter the ACTUAL marketing activity
results
• Click the Add link in the Total Cost
of Activity section to add invoice
detail.
• Enter Invoice Number
• Select Invoice Date
• Enter Amount
• Enter Description
• Click the Save button
Create and Save a Claim – Reimbursement Contact

• Payment can be sent to you or to a


vendor
• The default Reimbursement Type
equals “Partner”
• If you worked with a 3rd party to carry
out the activity and would like payment
to go directly to the vendor, select
Vendor from the Reimbursement
Type dropdown and select the Vendor
from the Vendor Contact dropdown

Note: Vendors must be pre-approved by Zebra and Zebra must make them available in the system before you will see them in the dropdown.
Create and Save a Claim- Proof of Performance Documents
• The Proof of Performance
Documents section displays the POP
REQUIREMENT(S)
• Lists the required documentation
for claims REIMBURSABLE
EXPENSE(S) that are
reimbursable by Zebra
• Select Document Type to select the
type of documentation
• Click the Browse button to locate file
• Click the Upload button to upload
documentation
Create and Save a Claim
• Comments are optional and are used
to provide additional information
• Type Comments
• Click the Add button
• Click the Submit button to send the
claim to Zebra for approval
• Click the Save button if you are not
ready to submit. Save sets the claim
status to Not Submitted

Note: The Claim appears in the My Action Items section of the MDF Home page for you to submit when you are ready.

My Claims
• To check the status of your Claims,
Click My Claims from the toolbar
• The Claims page contains a Claim
Search section used to specify
search criteria
• Enter search criteria
• Click the Search button
• You can also create a new claim from
the Claims page
• Click the New Claim button within the
Enter New Claim section

My Projects Report/My Claims Report

• To create Project reports and Claim


reports, navigate to My Projects
Report or My Claims Report
• Select Export Filter Criteria
• Add additional fields to the report
under the Show Export To Excel
Fields section
• Click the Export button to view Excel
data

Note: Reports are refreshed 3 times a day (4am,


12pm, and 8pm EST).
My Projects Report/My Claim Report

• Search criteria may be saved if you


run the same reports often using the
same search criteria and fields
• Select the Export Filter Criteria and
Fields
• Supply a View Name
• Click the Save View link
• The Saved View is now available in
the Project Reports or Claim Reports
section above the filter criteria

Note: Reports are refreshed 3 times a day (4am,


12pm, and 8pm EST)

Statement
• The Statement page gives you
summation of total amounts for
Projects and Claims based on status
• Projects- Submitted, Approved and
Cancelled
• Claims – Submitted, Approved and
Paid
• Within Report Criteria, select MDF
or Co-op from the Program Type
dropdown
• Select other criteria
• Click the Search button

Coop Balance
• Coop Balance provides additional
details around the available balance
for co-op funds
• The REPORT RESULT displays
totals for:
• Deposits
• Adjustments
• Allocated
• Paid
• Expired
• Available
• The Available balance displays
amounts by Start and Expiration
Dates as well as how much has been
allocated to projects, and how much
has expired

Banking Details
• When a Claim is ready to be paid,
you will receive an email requesting
banking details
• Click the link to navigate to a secure
page to provide banking details
• Once banking details are initially
provided, you do not need to provide
this information again

Note: You will be given the opportunity


to update or confirm banking details on
subsequent payment emails. If banking
details are not updated or confirmed,
the tool automatically uses existing
banking details.
Banking Details

• Enter Email Address


• Enter the PIN provided in the email
notification
• Click the Submit button
Banking Details-Online Claim Form
• Enter your banking details into the
Online Claim Form
• Complete the following sections
• Beneficiary Details
• Primary Bank Details

Note: Fields marked with an asterisk * are required

• Additional Online Claim Form sections
include:
• Intermediary Bank Details
• Comments
• Check box for certification
• Click the Next button
Tax Details and Invoice
• If your country requires tax details,
complete the Tax Details section of
the Online Claim Form
• Enter the tax details and check the
Acknowledgement check box
• On this page, please also upload your
invoice for the project, addressed to: -

Payment Confirmation
• Once the payment has been
completed, you will receive a
payment confirmation email
• The email includes:
• Payment Date
• Reference ID
• Program
• Claim ID
• Comments
• Amount

Claim Updates to Paid Status
• To locate Paid Claims Navigate to
the My Claims page to search for the
paid claim
• The details appear within the Claim
Information section
• When the payment has been made,

• Claim ID
• Current
• Payment Reference Number
• Payment Date

Note: Payment Ref Number and Payment Date are also available to add to your Claims Report.
Payment Ref Number may be used at your bank to locate the payment if needed.

• The Benefit Statement contains 3
options: Summary Approved and
Payments
• The Benefit Statement Summary
page displays Claims that have been
Approved or Paid
• Details include:
• Campaign
• Earned(Approved)
• Paid
• Click the amount in the Earned or
Payments columns to drill down to
the detail level
Note: Depending on your browser, the Benefit Statement may open in a new tab or window.

• The Approved page provides view


of Claims that have been Approved
for payment
• Details Include
• Campaign
• Program Name
• Approved for Payment (date)
• Amount
• Claim ID
• Project ID
• Project Description

Note: You can drill down within the transaction to view the claim and project IDs.

• The Payments page provides
payment information
• Details include the following:
• Amount
• Payment Date
• Payment Type
• Status
• Payment Number
• Campaign
• Program Name
• Approved for Payment (date)

Partner Login via SSO
Partner Login is by Single Sign-On through
Zebra Partner Connect:
• URL: https://partnerportal.zebra.com
• Enter Username
• Enter Password
• Click the Sign In button
Accessing the Co-Marketing Fund Tool
From Partner Gateway select Co Marketing Fund
Tool within Connecting Tools
Click the Access link
The Co-Marketing Fund Tool appears

Partner Contact - Access Request
1. Log in to the Partner Portal
2. Select Co-Marketing Fund Tool from Connecting
Tools
3. Click the Register link
Partner Contact - Access Request
4. The Manage My Tool Access screen
opens under the Contact
Management tab
5. Select Co-Marketing Funds Portal
Request Access radio button
6. View and accept the terms and
conditions- Click check box
7. Click the Submit button
8. The access request confirmation
opens. Click the Ok button

Note: Confirmation of access request


submission is sent via email notification to
the Partner Admin. You will receive an
email notification once access is
approved or denied.

Partner Administrator - Process Access Request
1. Co-Marketing Funds Portal access request email
notification is received by partner administrator
(link to request is included)
2. Log in to Partner Gateway and click Items to
Approve
3. Click the numeric link
Partner Administrator - Process Access Request
4. The SSO Workflow Detail form appears.
5. Click Approve/Reject to open the
Approve/Reject approval Request form page
6. The Approve/Reject Approval Request form
appears. Supply any optional comments.
7. Click the Approve button.
Partner Administrator - Process Access Request
8. The Request is now Approved
Note: The partner contact receives an approval
email.
