Based on the business requirements definition, the following legends have been used in the
creation of operation flows in business process.

- Business details, the business process takes places among related parties, are stated via
①sentence ②operation flow.
- Operation flow regards regular operation as basics; In case of irregularity (damaged cargo,
discrepancies, etc. )arises, another flow will be developed.
- Refer to next page for all business process & operation flows in this definitions of business
requirements.

Step (1) & (2): Receive pre-arrival document

Pre-arrival data (Invoice, Packing List & B/L) need to be sent to warehouse by email (Scanned
copy & Excel file) at least 01 day before cargo arrival
Step (3) Pre-Arrival Entry (upload):
A. Copy data into the Arrival template.
B. Upload Arrival data to Rewards system.
C. Record the arrival # from Rewards system.
D. If there is new product code found in arrival data, CS staff needs to inform and confirm it with Terumo Viet Nam.
Master data of new items need to be added in to system by Master Data format.
Finish Good = Hold Stock
Raw material = Available Stock
Step (4) & (5): Print document arrival & Pallet Label
On the day as cargo arriving, Office staff print out “Documents Arrival” from REWARDS SYSTEM by below procedure
A. Click the icon on right hand side on desktop to open system REWARDS screen.
B. Input USER-ID & PASSWORD as shown
USER-ID: NEVAMAWH
PASSWORD: AMAWH
For Test environment

USER-ID: NEVTSTWH
PASSWORD: TSTWH
C. Select ‘110’ to print Document Arrival.
D. Input the following data:
*Warehouse Code：AMA
*Operator Code：(for each operator)
*Password：(Operator Password):
*Customer Code：TBCT
E. Input ‘P’ at “P/A”.
F. Enter Correspondence data on “ARRIVAL DATE” or

“INVOICE NO.” and enter
G. Check correspondence data, and

Select ‘10’ to print Document Arrival.
H. Select menu 103 to print label
I. Sample document arrival and label printed from Rewards system:

Step (6): Cargo Arrival and Unloading

A. CS staff have to check container no. and seal no. before unloading.
B. If OK, start container or trucking unloading cargo.
D. Operator must check Cargo’s outer condition (quantity, outer damage) against Packing List.

E. Operator must take below sample picture (before opening container, seal condition, cargo’s outer conditions, container floor/door/proof)
F. After finished, operator must report to CS staff.
In case Operator found discrepancy or problem, Must report to CS staff immediately!
Step (7), (8): Checking, Sorting and Labelling:

Step (9): Use RF terminal to do Arrival Entry
A. USER-ID & PASSWORD as shown

B. Enter “01” ARRIVAL and press Enter
C. Scan Arrival No, Product Code,

Qty of PKG, Qty of PCS.
D. Scan or Input Lot No by RF.
E. Finally press F5.
Step (10), (11), (12) & (13) Location Entry & Data Checking:
A. Login to RF terminal to do Location Entry.

B. Scan location and pallet # to finish location entry.
C. Select menu 111 in main screen and check status this arrival:
Step (14), (15) & (16): Print GRN and send to TBCT
A. Select menu 111.

B. Select “A” – Arrival on field P/A.
C. Select “P” onto which arrival need to printed GRN.

Step (1) & (2): Receive Delivery Order

A.Prepare data as order template:

C. Confirm Order data with Terumo BCT VN (Product code, quantity, M3, consignee, planned shipping date, weighing, detail
of packing goods)
Terumo BCT VN prepares Delivery Documents

After receiving order data confirmation from NEV, Terumo prepare delivery documents according to type of delivery as below:
+ Sales: scanned copy of Red Invoice (If any)
+ Click Charge (If any): scanned copy of Ex-warehousing-cum-internal Transportation Slip
+ Internal Transferring (If any): scanned copy of Ex-warehousing-cum-internal Transportation Slip.
+ Inv & Packing list (If any)
These delivery documents need to send to NEV before dispatch.
Step (5) & (6): Printing Order Checklist & Picking List
A. Press menu 100.
B. Then, press menu 300.
C. Menu menu 362 to convert order data.
D.Select “X” onto which order need to be converted. Then, select Enter.
E. Finally select F6 to convert data and order check list was automatically printed.
F.Select menu 133 to print Picking List

G. Fill order # which was shown on the order check list and select “S”, then select F7 to print picking list.

Step (7), (8), (9), (10): Picking, Checking ( product code, Q’ty, Lot #) and Sending detail of
packing goods data to Terumo BCT
A. USER-ID & PASSWORD as shown
USER-ID: NEVAMART
PASSWORD: AMART
B. Select order #
C. Scan location, pallet #, product code and qty.
D. Then scan Lot No if any

E. After that, select F5 to finish and sign on picking list.
F. After finish picking, the Operator move this cargo to staging area.
Step (11): Physical check

A. the CS staff is going to check product code,
qty, Lot N0 and sign before vanning to deliver.
B. CS staff sends outgoing Weighing data to

Terumo ( If any)
Step (12), (13), (14): Paste Shipping mark (if any), Wrap strecth film (if any),
packing (if any),…, Loading and Handing Over to Driver/Carrier
A. Operator needs to pack cargo properly under instruction of Terumo BCT if any
B Paste Shipping mark to cargo
C Loading cargo into the truck.
D. Pass document to driver for delivery and have him/her singed on POD (Delivery Order & Warehouse Delivery Note)
Step (15), (16), (17) & (18): Shipping Confirmation and Sending POD to Terumo
A. Select menu 152 to Shipping Confirmation

B. Fill outgoing date.
C. Select “X” and press F6 to finish.
D. For RAW: Terumo receive POD from driver when finish the process of delivery and send to NEV.
