• Data Forms are the mechanisms for users to enter
Plan data.
• Data Forms can be accessed over the web and in
Excel via Smart View
• Creation or Manage of Data Forms must be done in
Planning Web Client
• You can assign access to data forms and data folders
• Data forms with target version can entry data at any
level including parent members

Page: This consists of drop-down lists. Each drop down contains a list of
selected members from a particular dimension.
POV: The members you select for the dimensions that are assigned to the POV
determine the context for the pages, rows and columns
Eg: If the scenario dimension is set Actual to POV, Then the pages , rows
and columns goes into the Actual Scenario

• The first tabs allows you to define and update data form properties

Only members that are valid for that plan type can be included on the data form.
When you save data in a form, it is saved to the database that is associated with the
data form plan type. You cannot change plan types once the form has been created

• Point of View (POV) – One or more fixed dimension member values that
determine context for Data Form pages, rows, and columns. All data in the Data
Form is constrained by the Point of View.
• Page Axis – Combination of dimension member values that determine context for
Data Form rows and columns. Users switch between dimension member
combinations by selecting Page values using drop-down lists from the page axis.

• A Composite Data Form is a combination of data forms. It used to
display data to end user from data forms combination

Options in Data Forms
• User Variables: User variables act as filters in data form. Helps to display the partial
data based on selection.
Note: Planners cannot open the data form until the value has been specified
• User variables increase performance and enable planners to focus on those
members with which they want to work

Custom Menus
• Menus are displayed when business users right-click data-form rows or columns.
• Administrators create right-click menus and associate then with data forms.
• It provides business users a quick way to launch related data forms , business
rules, URLs and jump from one data form to another DF.

Submitting Data

• Data will be entered in cells at any level on a


data form based on the properties set
• Data can be distributed from summary to
base periods automatically
• Adjust data and add supporting details
• Annotate planning units, accounts or cells
• Export data to a spreadsheet
• Perform business rules calculations on data

Adjust Data
• Increase/Decrease values By Value (a specific
amount) or By Percent
• Adjust data for multiple cells simultaneously if
cells are at same dimension level (e.g. Jan,
Feb, Mar)

Spreading Data
• Planning Automatically distributes values from summary periods to base
periods.
• Spread Data depends on the Account Type and the Data Type
• Spread values based on weekly distribution
(4-4-5, 5-4-4, 4-5-4, or None, as set in application)
Revenue and Expense accounts:
If no data exists then summary period will divide equally across children
If values exist for the base time periods, the existing proportional spread is
preserved

Asset, Liability and Equity Accounts:
• If no data currently exists or if data is all zeros, the value entered in a
summary period is set for each time period.
• If value already exists, the spreading of new summary period value
depends on Time Balance Properties.

• Using Grid Spreader, business users can specify an amount or
percentage by which Planning increases or decreases values across
multiple dimensions on data forms
Mass Allocation:
• Mass Allocation enables predefined(Need to provide separate
access in shared services) to allocate across multiple dimensions
• Mass Allocation supports proportional and relational spreads
• Mass Allocate spreads data to all the source cell's descendants,
even those descendants that are not displayed on the data form
• The data is automatically gets saved once the values entered in the
data cells.[No Undo Options here]

Annotations
• Annotations are comments, notes, explanations, or other types of external
remarks that can be attached to a Web document or a selected part of the
document, We do it with the help of Account Annotation.
• Annotations and supporting details are stored in the Planning relational
repository; they are not refreshed in the Essbase database.

• Supporting details a built-in calculator provides a way


to drill-down into data and to better understand the
basis of the data

Business Rules
• Business Rules use different interface to calculate Planning
database partially.
• These business rules can reside either directly in the Hyperion
Business Rules Repository or can be exported to Hyperion
Essbase as Calculation scripts.
• Business rules perform calculations through pre- defined
functions, commands, variables Business rules are associated
with data forms by Plan Type
• Users launch associated business rules from the Data Form to
calculate and allocate values
• Calculate Data Form and Calculate Currencies business rules
are automatically created
• Business rules can be set to launch automatically with Run on
Load or Run on Save

Adding the Aggregate Data Action
• Calculate options include Calculation Entire Database, Calculate Entire Database with Two-
Pass Calculation, and Calculate Portion of Database
Adding the Copy Data Action
• You use the Copy Data action to copy data from one part of the database to another in the
same database. Furthermore, you can perform mathematical operations on the copied data.
For Example, to create your budget for the current year, you can start with a copy of last
year's actual and increase those values by a percentage to determine your starting point for
your budget
Adding the Clear Data Action
• You may want to clear data in a destination before applying an action of formula. You use the
Clear Data action to clear data from a specific portion of the database. You can choose to
clear individual cells or and entire block. Clearing data sets the data value to #Missing

Adding the create Block Action


• You may want to ensure that blocks exist for sparse member combinations in a specified slice
of data. Remember that order to store the result of business rule calculations, a block must
first exist before executing the calculation. You can use the create Blocks actions it add blocks
to the database

• Business rules with runtime prompts ensure valid inputs from budget
preparers. By enabling the entry of runtime prompts during startup,
Business Rules makes a single, centrally created business rule reusable by
several users
• Use Members in Form option will use the current members selected in the
POV and Page Axis as the default members in business rules runtime
prompts, they can be changed before launching business rule
