Google Drive
● Online file cabinet for storage of documents and other digital files
● Easily accessible through your gmail account
● Cloud-based - Upload a file into Google Drive from your home computer, access it from
your work computer, cellphone, iPad, etc.
● Accessible as long as you have internet
● Use for storage or creation of items.
● In Google Drive you can also access tools comparable to programs you’re already
familiar with:
○ Google Docs = Microsoft Word
○ Google Slides = Microsoft PowerPoint
○ Google Sheets = Microsoft Excel
○ Google Forms = Survey/Assessment tool
Google Forms
● Create quizzes, tests, information check-ins, exit slips, etc.
● Link to Google Sheets (Microsoft Excel) to record data in an organized manner
● Easily share with students, colleagues, etc. through a link or email
● Has editing capabilities to anyone it’s shared with (group work, partners, etc.)
● Can post/respond anonymously or with a login
Google Drive - Storage & File Types
● Sign in to your Google account
● Click on the Google icon in the top right corner and select “Google Drive”
● My Drive will automatically open up
○ My Drive contains uploaded or synced files and folders
○ You can also upload files from your computer or create files in Google Drive
● Google Drive automatically connects to your gmail account
○ Automatically save/store attachments, photos, etc. received through email
● Google Drive stores photos, videos, presentations, PDF documents, all Microsoft Office
files
● All files are private unless or until shared
Google Drive - Uploading Folders & Files
● Uploading files/folders from your computer:
○ Open Google Drive
○ Top left, click New > FIle Upload
○ Choose the file you want to upload
● Uploading files/folders by dragging:
○ Open Google Drive
○ Open or create a new folder
○ Upload files/folders by dragging them into the Google Drive folder
Google Drive - Organizing Your Drive
● Download a file to your computer from Google Drive
○ Open Google Drive
○ Choose the file you want to download - Download multiple files by holding
command (Mac) or ctrl (Windows) while selecting all files
○ Right click > Download
* You cannot drag a file or folder directly from Drive to your desktop
● Create a folder in Google Drive
○ Open Google Drive
○ On the left, click New Folder
○ Name the folder
○ Click Create
Google Drive - Organizing Your Drive
● Moving a folder within your Google Drive
*If you move folders with multiple files/folders you won’t see immediate changes
○ Open Google Drive
○ Right click the item you want to move > Move to…
○ Choose or create a folder
○ Click Move
● Adding items to a folder within Google Drive
○ Open Google Drive
○ Click and hold the item you want to move
○ Move the item over the folder you want to move it to
○ Release your mouse
Google Drive - Sharing Files
Control whether people can edit, comment on, or only view the shared file.

● Sharing file with specific people


○ Open the file you want to share
○ Under “People” enter the email address, or addresses you want to share with
○ To choose what someone can do with your file (edit, comment, view) click the
down arrow
○ Choose to send an email to everyone you’re sharing the document with by clicking
Advanced and unchecking the notify people box if you do not want to send an
email. Leave it checked, or check it if you would like to send an email to all
addresses entered
○ Click send

*Recommended for sharing with other Google users, if you share with someone not using a
Google account they will have view only rights.
Google Drive - Sharing Files
● Sharing a link to the file
○ Open the file you want to share
○ At the top right select “Get sharable link”
○ Click the down arrow next to “Anyone with the link”
○ Copy and paste the link in your email, or wherever you want to share the file

*You can send other people a link to your file so anyone on the internet can access it.
Google Forms - Creating Forms
● Sign in to your Google account
● Click on the Google icon in the top right corner and select “Google Forms”
● Forms will automatically open up
● Choose a blank form or template
● Add a title and description for your assessment
● Create questions by typing your question and selecting the question type from the drop
down menu
● Type your answers
○ Select your correct answer(s) under “Answer Key”
○ Provide feedback for correct and incorrect answers (optional)
○ Assign point value
● Add videos and/or graphics
● Mark all questions as required
Google Forms - Sending Forms
● Click Send in the top right corner when your Form is complete
○ Send via email by entering all email addresses
○ Choose link > Copy and paste the link provided in an email or through Google
Classroom, or any other form of communication
○ Embed your form using the embed code provided
Google Forms - Viewing & Analyzing Results
● Open the form you want to view the results for
● Choose “Responses” at the top (The number next to it is how many students or people
have completed it)
● A summary of responses to each question will appear
● Select individual to see individual student/people responses to each question
● Click the Google Sheets sign in the top right corner of the screen
○ This will automatically populate all of your responses in a Google Sheets
(Microsoft Excel) document
○ Color code your results in the Google Sheets document for better organization and
analyzation of the data

● Access the Google Classroom and use the provided presentation and videos as
reference
● Log-in to Google Drive, Google Forms, or both and try a skill(s) you learned today using
the materials provided
● Ask questions! (That’s what I’ve worked so hard for)
● Please complete the survey for today’s presentation prior
to leaving the training.
