When leaving a message, improve your
communication by following these:
 Speak slowly and clearly, and repeat you name and phone
number at the beginning and end of the message.
 Spell your name for the receiver who may need your
correct spelling.
 Leave a detailed message
 Keep your message brief (may be 60 seconds or less).
 Ensure that your message is understandable. Don’t call
from places with distracting noise. See your connection is
adequate to complete your message.

 Give guidelines for the call

 Pause periodically throughout the teleconference
 Before ending address each person by their names asking for
questions and doubts
 Use mute button on the phone when your are not speaking
 Direct questions to specific persons
 Avoid putting phone on hold during conference

Videoconferencing (Rules to Maximize its
Effectiveness)
The most basic form of transmission of images (videos) and speech (audio) back and
forth between two or more physically separate locations.
 Room Dynamics- Background colours and textures; lighting
 Use of Microphone- positioning and unwanted noise
 Clothes and Colours- Colour at work include pastel shades, avoid dark and white
at videoconference, avoid anything that can cause visual illusions like stripes or
checks, or shiny clothes that will reflect light.
 Call Preparation- Familiarize yourself with the room, equipment and their
operation
 Meeting Etiquette- The Chairman can ask to introduce themselves, ask to raise
hands for attentive videoconference, announce who is entering and leaving the
room during the videoconference, speak clearly and slowly, not loudly!!
 Camera Use- The larger you are on screen, easier it is for people to see your
facial expressions. Look at the camera not at the screen , or else it will seems as
if you are not looking directedly to the participants.
