It is very important to know
about communication:-
● Communication refers to two way
process of conveying information,
ideas, feeling or opinion between
two or more person either verbally
or non-verbally, using a medium.
● Communication is not complete
unless the message is decoded
and understand by the receiver.
Components of communication:-

The process of communication has the


following six elements or factors:-
1. Context.
2. Encoder/Sender.
3. Message.
4. Medium/Channel.
5. Decoder/Receiver.
6. Feedback/Response.
1. Context:-
● context is the situation or setting within which
communication takes place, or the
circumstances that surrounds a particular
piece of communication.
Context play a very important part in how a message
is encoded and decoded.
Whether we communicate orally or in writing every
message begins with context. Context is a vast field
that includes country, cultures, organizations and
internal and external stimuli.
2. External and internal stimuli:-
 STIMULI:-
Anything in the environment that causes a
reaction.
• The external stimuli:-
 The external stimuli may be a letters, memo,
note, electronic mail, fax, telex, Telephones call, a
meeting or even a casual conversation.
 Response to this stimulus or prompt may be a oral
or written depending on the situation.
• The internal stimuli:-

 His way of communication is influences by his


attitudes , opinion, emotions past experiences, likes
and dislikes, job status, education and confidence in
communication skills.
2. Encoder OR Sender:-
• Sender:-
In the process of communication the
sender is one who forms and encodes a
message and transmits it to the receiver.
Communication begins with the sender. The
message may be a written or oral forms. The
role of the sender is very important. It is the to
encode his message properly, correctly, clearly
and completely to achieve the desired
feedback.
• Encoder:-
• Encoding is the simply putting the message in
an appropriate forms which may be a verbal
or non-verbal.

3. Message:-
Message can be any information(idea,
thoughts or feeling of the sender). It can be
either verbal or non-verbal.

• It makes a connection between the sender and receiver


of the message.
● No message can achieve its purpose unless it has unity of
thought, consistency in expression and emphasis on the
main point.
● First of all, the sender must be very clear about his
message and all the important contents in it
● The message should be very clear so that the receiver
may understand it.
4. Medium OR Channel:-
The link between the sender and the
receiver is known as channel.

● It may be a conversation, letter, telephone call, radio


or television programmes.
● Medium may be oral or written form.
● written media may be used in the organization
include memos, reports, employee manuals,
electronic bulletin board and company magazines.
● Oral communication may take the form of staff-
meeting, reports, face to face discussion,
presentation, audio taps telephones chats,
videoconference or video taps.

5. Decoder OR Receiver:-
Receiver is a person or group who receive the
message from the sender is called a receiver.
“The receiver after receiving the message interprets it
tries to understand it in the best possible manner. It is
known as decoding.”
● Therefore , the receiver’s experience will also affect
the quality of decoding.
● Therefore, it is very important that the sender
drafting his message should considers all these
factors to rule out or minimize the possibility of
his being misunderstand or misinterpreted.
6. Feedback OR Response:-
After understand the message when responds
to it. It is known as Feedback.

● Feedback is a verbal or non-verbal process in which a team


member shares his or her feelings or perception about
another team member’s behavior, action or words.
● The process of giving or receiving feedback is one of the
most important ways for learning new behavior and
determining the impact of our behavior on others.
● Feedback is crucial for effective communication_ Effective
communication will only come if communicators at all
organizational levels seek out feedback and take
appropriate action to insure that the intended meaning is
passed on the relevant audience.
