EVENT MANAGEMENT SYSTEM

OBJECTIVE

• To provide an event management system that will help the events’ organizers to get rid of manual
recording of all the data of the events.

• To provide a user friendly platform for both the event organizers and the users(attendees).
ABSTRACT

 Today events are increasing at a larger rate, it is difficult to manage using traditional system (using
spreadsheets).

 In order to overcome the drawbacks of traditional Event Managing System, a new Event Management
System has been introduced which uses the modern technology of Java Framework for managing
various tasks and planning for the events.

 With the help of this technology, the distance between audience and the organizing management team
has reduced. All they need to do is to register themselves in the website and select the event that they
want to be a part of. The role of the admin /organizer is to upload the event details, get the registrations,
upload the details of the attendees and store it in the back end which can be retrieved later.

EXISTING SYTEM
• Most of the companies still use spreadsheets to manage their events. It is difficult to maintain all
details of events and the attendees.
Drawbacks:

• The manually handled system is time consuming


• Data security is not assured

• It is difficult to maintain records in long run.

• Large number of manpower is required.


• It is hectic to handle huge transaction.
PROPOSED SYSTEM

• The main purpose of event management system is to provide a platform for the users to view the
information about the events that took place in the past and the ones which are about to take
place in the near future. The users can be admins, people who are going to register.

• All the information about the events will be available in the website. The administrator can login
and update the information, delete any unwanted data ,arrange the information accordingly.
PROPOSED SYSTEM(CONTD…)
The proposed system consists of the following processes.

• Creating a website with the required pages.

• Creating a database with necessary tables

• Establish a connection between website and the databases using (JDBC)

• Creating a different module for Admin and User

• Admin has to post an event , view the number of applicants for each event whereas users will be
shown only the events and their respective registration forms.

 
RESULTS AND DISCUSSIONS
WEBSITE CREATION
A website is created ; the details about the events that are happened and likely to happen in the near
future are updated.
At the top right hand side, we have given a menu where the user can choose between the respective
modules (Admin & User ).
ADMIN MODULE
The admin module is especially for the admins (organizers) of the event. In the home page, admin
module is there within the menu. On clicking that, the user gets landed to the login page, where the
admin needs to login.
FUNCTIONS OF THE ADMIN
Once the admin logins, the following options are displayed.
Event Post – for posting about an event
View Applicant – for viewing the number of people registered for a particular event and their
details
EVENT POSTING
The admin has to post the details of the events. The name of the event should be given followed by
the date and time along with the description.
VIEWING APPLICANTS
To view the applicants of a particular event.
Select View Applicant from the menu; by doing this, the following screen appears.

All the events will be listed and the admin can select and view the applicant’s
details of the selected event.
For instance, here the first event (Australia Users Meet – 2018) is selected to view its applicants.

The applicants registered for the Australia User Conference are shown above.
USER MODULE
The user needs to register their email ids’ first in order to apply for an event.
The users’ name, email id, phone number, DOB and other particulars are obtained and stored in the
database.
FLOW DIAGRAM
Once the user registers, he needs to login again.
Once the user logins, the following page appears, which gives him the option to view the events
that are yet to happen, so that the user can apply/register for that particular event
The user can apply for any particular event by clicking the Apply button and register again as a sign of
confirmation from his side to the event as shown below.

HARDWARE REQUIREMENTS
• Processor : Pentium Dual Core 2.3 GHz
• Hard Disk : 250 GB or Higher
• Ram : 1 GB

SOFTWARE REQUIREMENTS
• Operating System : Windows XP or Higher
• Languages used : Java (JSP, Servlet), HTML
• Tools : JDK 1.7, Net Beans 7.0.1, SQLyog
• Backend : MySQL
CONCLUSION

 The proposed system is very effective and useful. It has reduced the tedious manual works.
 Once the setup is ready, we can manage any number of events without chaos and confusions.
 It can be used across all the industries.
 We can pull the numbers whenever we want. All the details are stored in a database so that it can
be retrieved when needed. The main task of maintaining records is being automated.
 We can add additional features to suit different needs.
