Types of software

Text editors e.g. MS Word For creating documents that can be printed for reading. Database e.g. MS Access To store large amount of non-numerical data Spreadsheet e.g. MS Excel To calculate, analyse, graph numerical data Lots of others.

What is a spreadsheet?

A piece of paper with rows and columns for recording financial data for use in comparative analysis.
Computer Science. An accounting or bookkeeping program that displays data in rows and columns on a screen

Typing text

The active cell has a thick black border The values typed in will show while typing, also in the formula bar The location of the cell is shown in the formula bar.

Simple exercise

Is cell D3 the active cell? Is cell D3 empty? Is cell D4 empty? What is the active cell? Is it empty?

Excel as calculator

Basic mathematical operations:


Addition

=> + Subtraction => Multiplication => * Division => / Power => ^ (e.g. 32 = 3*3 => 3^2)

Text or formula
Excel does not know if you want to do a mathematical operation or want to show text. E.g. if you type in 2+5 Excel does not know if you want to see the result (7) or the equation itself (2+5)

If you want to see the result of an equation/formula start with =

Example using =

Lets say we want Excel to calculate 5+8 for us. Type in: =5+8 Press enter If we type in 5+8 and press enter we get

Small note

If you use the equal sign you will see the result in the cell. You will still see the formula in the formula bar. To alter the formula:

click on the formula in the formula bar; press F2 on the keyboard or double-click in the cell

The power of Excel (part 1)


CELL REFERENCING Makes it possible that if one original value changes, all other values change accordingly

Non-cell referencing example

A course has two grades Each grade has a different weight The final grade is therefor 8.5 Disadvantage: If we change the grade or the weight we have to retype this long equation

Cell reference example

If however we type in: If we now change any of the four original values, the final grade will automatically be re-calculated

Small note on cell reference

To let Excel know that you want to refer to a cell, use again the = sign.

=> will show the text L6 =L6 => will show the value of the cell L6

Excel will use colors to make it easy to see what cells are referred to You can alter the formula/reference in the same way as discussed for formulas

A quick demonstration in class showing the following methods

Use Ribbon Use right-click Use keyboard AutoFill

Copy-paste and cell reference

If you copy paste a cell with a cell reference, Excel will alter the reference accordingly
