The first meeting sets the tone.
Goals: Developing a shared, common understanding of the team's charge Making a start on defining team ground rules, working relationships and so forth . Begin to develop a sense of "groupiness.

General Meeting Preparation


Define the meeting purpose If so, decide on the meeting format Decide how long it should last Decide who should attend (e.g., any outsiders necessary?) Circulate the agenda Send out any supplemental materials that need to be read before the meeting Get the necessary practicalities under control Consider rotating the role of running meetings Ensure that the following roles are filled by someone during the meeting: Timekeeper Record keeper Facilitator

the meeting with a short summary of its purpose and agenda Remind the team of the ground rules it decided to follow Ensure that the agenda is kept in mind Allow all parties to express their opinions Minimize irrelevant debate Ensure that the agreed-upon decision process is being used Effectively wrap-up the meeting

Post Meeting Activities

to have the record keeper send out a summary of the meeting within 48-72 hours Provide any resources you've promised Periodically follow up on how actions are progressing and arrange assistance if necessary Contact members who didn't get heard or who felt unsatisfied with the results

An effective communicator ensures that his target recipient understands what is being communicated. Words, tone and actions that you choose to encode your idea represent specific content meaning therefore, choose them wisely. Keep the target recipient in mind.

Noise in the Communication Process


Often noises distort messages in transmission and decoding External noises along the channel of communication are sights, sounds and other stimuli in the environment that draw a recipients attention away from what is being communicated Internal noises. In this case, the internal noises (the recipient's attitude and feelings) interfere with the "decoding" process so much so that the message decoded is NOT the message received. Then there are semantic noises, the unintended meanings aroused by certain symbols inhibiting the accuracy of decoding. We need to maintain an empty closet where there are no unsettled grievances in the recipient's mind

Decoding is the reverse of encoding, which is the process of transforming information from one format into another.
