Projects: Definition Phase

Questions to be answered:
What is the purpose of the project?

What are its objectives?

What results should be obtained? What resources are needed?

Projects: Definition Phase

Steps to be taken: 1. State the project 2. Develop objectives 3. Develop Work Breakdown Structure 4. Identify resource requirements

Projects: Definition Phase 3. Develop WBS

Work Breakdown Structure (WBS):
Identifies and displays the deliverables to be provided and the tasks to be accomplished for the project.

Deliverable - a thing produced, an outcome Accomplishment - something that has been

achieved during the project

Projects: Definition Phase 3. Develop WBS

WBS work packages: Lowest level sub-deliverable or subaccomplishment Will consume project resources Will provide detailed tasks for project planning

WBS Example
Work Breakdown Structure
1. Robot received and unpacked 2. Operator training conducted 3. Robot installed and debugged 3.1 Robot sites visited 3.2 Robot moved and installed 3.3 Robot operation debugged 4. Pilot testing conducted

Projects: Planning Phase

Questions to be answered:
Who will be responsible for the various elements in the WBS?

How should the tasks be organized to ensure that all objectives are met?
How can resource commitments by obtained?

Can we anticipate problems and plan for them?

Projects: Planning Phase

Steps to be taken: 1. Assign responsibility for WBS tasks 2. Sequence deliverables 3. Schedule deliverables 4. Schedule resources 5. Protect the plan

Proj. Mgt.: Planning Phase 1. Assign Responsibility

Ask:

Who has resources for this work package? Who has knowledge, skill, or information?

List who will be responsible for each work package? What will they do?

Responsibility Assignment Matrix (RAM)

Show primary, secondary responsibility for all

Projects: Planning Phase 2. Sequence Deliverables

Consider the WBS work packages Estimate calendar duration for each task List precedence for each task Draw a network diagram

Identify start and finish dates for each work package Review precedence to ensure no element starts or finishes too soon List start and finish dates for all tasks Display graphically with a Gantt chart

Projects: Planning Phase 4. Schedule Resources

Review: project definition, RAM, schedule Confirm/negotiate commitments for each resource
