Business letters and personal letters are two types of letters. For
all official and formal situations you write business letters,
whereas letters written to friends, relatives and acquaintances are
personal letters. Both follow the same format, the difference is
only in the language used for writing. In business letters formal
language is used.
People write business letters and e-mails for a variety of reasons: to
request, to give information, to apply for admission or a job, to offer,
to confirm, to refuse, to complain, to apologize, etc.
Effective business correspondence should be clear and concise,
respectful in tone, and it should be formatted properly. The purpose
of writing a letter should be given in the first paragraph. Give
enough information about the main idea but be specific.
Professionals do not have time to read lengthy letters, so keep the
letters as short as possible.
A typical business letter contains three parts: an introduction, the
body, and a conclusion. The following guide gives the phrases that are
usually found in any standard business letter.
The start
Dear Sir or Madam, / Dear Personnel Director, (if you do not know
who you are writing to)
Dear Dr, Mr, Mrs, Miss or Ms Smith, (if you know who you are
writing to and have a formal relationship with him/her. It is very
important to use Ms for women unless asked to use Mrs or Miss).
Dear Frank, (if the person is a close business contact or friend).
The reference
With reference to your advertisement in The Times / your letter of
23rd March / your phone call today / Thank you for your letter of
March 5th.

I hope it’s cooler there!
I’m not sure I’m always as relaxed as you think I am, but
maybe I can still help. There are a few things I do to try to
reduce how stressed I feel.
3. The first is to spend as much time as possible outside. When
I’m walking or sitting in a park, I don’t think so much about
work. I listen to the birds and breathe the fresh air. Just being
surrounded by nature makes me feel so much better.
Another thing that might help is to do some yoga. My friend
told me about an app which shows you exercises to do for ten
minutes every day. When I first started, I didn’t really think it
would help, but now I really notice if I miss a day.
The last idea I have is to read or to watch something funny. It’s
true when they say that laughter is the best medicine! The thing
that makes me laugh most is cat videos on YouTube.

Dear Mr Huston,
I am writing in response to your request for information regarding
university accommodation. I have included details of our
accommodation in general, as well as a booklet describing the
individual halls of residence.

As you can see from the booklet, the university has a number of
student halls of residence, ranging from those offering full board
and lodgings to those with self-catering accommodation only.
Students who prefer to have their meals provided can expect to
have three meals a day, served at set times in the hall dining-room.
The self-catering units, however, are based on five people sharing a
kitchen – crockery and cutlery are not provided – and bathroom
facilities comprising two showers and a bath per corridor.
All the halls of residence have a laundry room with washing
machines (£1 per load) and tumble dryers (50 p for 10 minutes’
drying). Irons and ironing boards are also provided. The rooms
are cleaned twice weekly by the domestic staff, and clean linen is
distributed once every two weeks.
As well as halls of residence, accommodation is also available in the
form of private flats and houses, which can be shared with other
students. Bedsits are also available. Private accommodation is limited
so you are urged to submit your application as soon as possible.
Most of the accommodation is near the campus; buses run
frequently and are relatively cheap. The halls are mostly situated
in residential areas and a number of them have tennis courts and
croquet lawns. Access to these facilities is restricted, though, to
protect playing surfaces.
University accommodation prices range from £30 per week for self-
catering to £75 per week for a room with an en suite bathroom and
full board. Private accommodation varies from £40 to £90 per week.

piece of work immediately after it is assigned so that you do not
fall behind. Additionally, if you find that you need help, the best
course of action would be to speak to your tutor. Most important
of all, I strongly recommend that you organise your timetable
carefully so that you can combine work and recreation.

to cope with.

day. Make sure you set the alarm when you go out, though. Close all
the doors downstairs and then press AWAY and then ARM. You
then have ten seconds to close the door.
The rest of the house. I think everything is fairly self-explanatory
and I’ve left notes where you may need help. The only thing I should
warn you about is that the oven is a bit temperamental. I’d keep an

Shops and places to eat. We’ll leave you something to eat in the
fridge for when you arrive. If you’ve got any special requests, let us
know! For the basics, like bread and milk, there’s a small shop in the

clear of Moretti’s, the Italian one on the main high street, though.
We had a very bad experience when we went there last time.

Places to see. Obviously, the main attraction round here is
walking. You must go to Malham Cove and if you’re feeling
particularly energetic, you could try The Three Peaks. The idea
is to do the 26-mile walk, climbing all the peaks, (7___) 12
hours. You get some fantastic views from the top. If the
weather gets the better of you, you could visit the castle in
Skipton or, if you don’t (8___) a bit of a drive, there’s The
National Museum of Film and Photography in Bradfort, which
is fantastic. There are a number of leaflets and maps in the

there’s not a great deal specifically aimed at teenagers. You
might be tempted by the ads for Dalesville you will see, but I

opportunity to watch traditional dancing.
The most excited exciting part of the holiday was the hot-air
balloon safari last week. It was amazing! We floated quietly above
all these teams herds of wild animals. The scenery was absolutely
breathtaking. I have never seen nothing anything like that before.
