Foreword

Business letters and personal letters are two types of letters. For
all official and formal situations you write business letters,
whereas letters written to friends, relatives and acquaintances are
personal letters. Both follow the same format, the difference is
only in the language used for writing. In business letters formal
language is used.
People write business letters and e-mails for a variety of reasons: to
request, to give information, to apply for admission or a job, to offer,
to confirm, to refuse, to complain, to apologize, etc.
Effective business correspondence should be clear and concise,
respectful in tone, and it should be formatted properly. The purpose
of writing a letter should be given in the first paragraph. Give
enough information about the main idea but be specific.
Professionals do not have time to read lengthy letters, so keep the
letters as short as possible.
A typical business letter contains three parts: an introduction, the
body, and a conclusion. The following guide gives the phrases that are
usually found in any standard business letter.

The start
Dear Sir or Madam, / Dear Personnel Director, (if you do not know
who you are writing to)
Dear Dr, Mr, Mrs, Miss or Ms Smith, (if you know who you are
writing to and have a formal relationship with him/her. It is very
important to use Ms for women unless asked to use Mrs or Miss).
Dear Frank, (if the person is a close business contact or friend).

The reference
With reference to your advertisement in The Times / your letter of
23rd March / your phone call today / Thank you for your letter of
March 5th.

The reason for writing


I am writing to enquire about … / to apologize for … / to confirm …

The business letter has to convey the message to the reader


effectively. Here, in this guide, you will get samples of business letters
and tips on how to write them. Use the formats and modify the content
as per your needs.

As you know, I’m working as a tour guide for a company called

The company gave me all the information I needed, but I had to
study very hard to learn it. Now I’m an expert on all the main
London sights like St Paul’s, the Houses of Parliament and the
Tower of London. So, if you want to know anything, I’m the

What I like most about the job is meeting people from all over
the world. So far I’ve met people from America, Africa and New
Zealand. I’ve even been out in the evenings with some of the

The only thing I don’t really like about the job is having to get

arrive. You know how I hate getting up early!

Now read Kaila’s response to Christian’s e-mail and match the parts

2. Everything’s good here, but it’s really hot at the moment.
I hope it’s cooler there!
I’m not sure I’m always as relaxed as you think I am, but
maybe I can still help. There are a few things I do to try to
reduce how stressed I feel.
3. The first is to spend as much time as possible outside. When
I’m walking or sitting in a park, I don’t think so much about
work. I listen to the birds and breathe the fresh air. Just being
surrounded by nature makes me feel so much better.
Another thing that might help is to do some yoga. My friend
told me about an app which shows you exercises to do for ten
minutes every day. When I first started, I didn’t really think it
would help, but now I really notice if I miss a day.
The last idea I have is to read or to watch something funny. It’s
true when they say that laughter is the best medicine! The thing
that makes me laugh most is cat videos on YouTube.

Brain-Based Learning Programme at Victoria College for a period

As you can see from the booklet, the university has a number of
student halls of residence, ranging from those offering full board
and lodgings to those with self-catering accommodation only.
Students who prefer to have their meals provided can expect to
have three meals a day, served at set times in the hall dining-room.
The self-catering units, however, are based on five people sharing a
kitchen – crockery and cutlery are not provided – and bathroom
facilities comprising two showers and a bath per corridor.
All the halls of residence have a laundry room with washing

Most of the accommodation is near the campus; buses run

in residential areas and a number of them have tennis courts and
croquet lawns. Access to these facilities is restricted, though, to
protect playing surfaces.
University accommodation prices range from £30 per week for self-
catering to £75 per week for a room with an en suite bathroom and
full board. Private accommodation varies from £40 to £90 per week.

Places to see. Obviously, the main attraction round here is
walking. You must go to Malham Cove and if you’re feeling
particularly energetic, you could try The Three Peaks. The idea
is to do the 26-mile walk, climbing all the peaks, (7___) 12
hours. You get some fantastic views from the top. If the
weather gets the better of you, you could visit the castle in
Skipton or, if you don’t (8___) a bit of a drive, there’s The
National Museum of Film and Photography in Bradfort, which
is fantastic. There are a number of leaflets and maps in the

The most excited exciting part of the holiday was the hot-air
balloon safari last week. It was amazing! We floated quietly above
